Sarasota Memorial Health Care System implemented PeopleSoft Grants, Contracts, Billing, and Accounts Receivable

On October 1, 2025, Sarasota Memorial Health Care System went live on PeopleSoft Grants to support the growth and expansion of the hospital system's research initiatives. As part of the project, we implemented PeopleSoft Grants, Contracts, Billing, and Accounts Receivable, and expanded the use of our existing project costing module to support grant processing and billing.

During our six-month project, we converted over 250 existing grants and expanded our footprint to include tracking grants from our new research institute.

For reporting, we also went live with the new Award Portal and Cost Reimbursable Insights.

Key wins are:

• The ability to route grant transactions for approvals directly to the PI, something we were unable do in the old system.
• The ability to record complex grant billing, revenue, and milestone scenarios in contracts.
• Improved financial reporting on grants, and automated grants accounting generation.
• Our monthly grant billing cycle has dropped to a half day from five days in the old system.
• The new system will be able to scale to match our growth and will be able to handle new types of grants that our old system was unable to accommodate.
