Sarasota Memorial Health Care System Streamlines Non-PO Invoice Processing with PeopleSoft and AI

The solution lets users upload invoices directly in PeopleSoft, where AI extracts supplier and invoice details such as invoice ID, dates, descriptions, quantities, unit prices, line amounts, totals, and payment information. Rather than manually entering a Payment Request from scratch, users review, validate, update, and submit transactions in PeopleSoft using information extracted by AI.

The solution provides supplier matching, accounting defaults, duplicate checks, chartfield validation, approval workflow, and status tracking through PRQ and voucher links, giving business users an end-to-end workbench for invoice-to-payment processing.

SMH uses UiPath agents and GenAI/image processing to extract data from invoice images. PeopleSoft Integration Broker exchanges synchronous cXML messages with UiPath containing both the invoice image and extracted data. OpenSearch is used to match AI-extracted supplier names to SMH’s supplier IDs, while PeopleSoft business logic applies field validations, accounting defaults, approvals, and the user interface.

The primary value of the solution is that AI automates document intake and invoice data extraction, while PeopleSoft remains the system of record for validation, accounting, workflow, auditability, and payment processing.
