University of Florida Health expanded the use of the PeopleSoft ERP suite to UF Health St. Johns

University of Florida Health, in conjunction with their partner SmartERP, expanded the use of PeopleSoft ERP suite including Asset Management, Expenses, General Ledger, Inventory, Mobile Inventory, Payables, Purchasing, eProcurement, Project Costing, Receivables, and Cost Management to their recently acquired hospital, UF Health St. Johns.

In September of 2023, University of Florida Health announced the acquisition of Flagler Health+. The acquisition included Flagler Health, a 335-bed hospital in St. Augustine Florida as well as other sites of care. The acquisition has enabled patients in the St. Johns Florida area to have access to increased resources for their health care needs. As part of the acquisition, Flagler Health+ was renamed to UF Health St. Johns.

To streamline operations, reduce costs, and provide better support to the UF Health St. Johns community, the organization embarked on a project to replace the existing third-party ERP system that had been in use with the same PeopleSoft ERP system used by the rest of UF Health. This project was completed in May of 2025.

Certain key functions and integrations that were implemented as part of this project have allowed the combined organization to improve overall efficiency while minimizing issues that can occur when disparate organizations are integrated on the same platform. These features have been well received by the end users. Highlights include:

  • The item masters of the two organizations were merged together. Since the existing UFH hospitals and St. Johns have different purchasing agreements in place with their suppliers, supplier sourcing and item sourcing by region is used to direct the sourcing and pricing via regional pricing rules. This allows the two parts of the organization to continue managing their supply agreements independently while keeping the efficiencies of a common item master.
  • Order sheet functionality (new feature introduced in PUM 39) was introduced throughout the organization as part of the eProcurement implementation. With this new capability, the creation of purchasing requisitions has been streamlined and made less error -prone. Nearly 200 new order sheets have been created and are being used by over 400 users across the entire organization.
  • A new business process for storeroom walk-up requests was created to allow for quick fulfillment of requests by people that come in-person to the storeroom without having previously placed an order or requisition. The express issue capability has allowed this streamlined approach.
  • Integrations to existing business systems that are necessary for the efficient functioning of UFH St. Johns were built. These include:
    • Item master data is synced to Epic Optime, Cupid, and Radiant systems.
    • Par management functions have been integrated to BD Pyxis.
    • The Mobile Inventory PO receiving function has been enhanced with web services integrations to UPS and FedEx to allow the purchase order information to be automatically filled in based on the scanning of the parcel tracking number.
  • The PeopleSoft-delivered fluid “Picking Feedback” tile was introduced — a feature currently used exclusively at UF Health St. Johns. Staff now use Zebra mobile devices to perform and confirm picking operations in real time, with the ability to adjust quantities on the fly. This has reduced errors by allowing users to confirm picks directly within the fluid interface, eliminating the need for printed pick tickets. The shift has cut printing costs, reduced paper waste, and streamlined the entire storeroom-to-fulfillment process.
