The University of South Carolina System is a state university system collection of campuses established in 1801 to expand the educational opportunities of the citizens of South Carolina as well as extend the reach of the University of South Carolina throughout the state. With over 55,000 students at the eight campuses, the system is the largest institution of higher learning in the state of South Carolina.
As part of its ongoing commitment to improving the onboarding experience for staff and students, the University of South Carolina set out to deploy PeopleSoft PreBoarding to help new hires feel engaged and prepared before their first day.
Previous system and the drive for change
Previously, the University of South Carolina utilized the standard Onboarding functionality within the PeopleSoft system. With this approach, new hires received onboarding emails that directed them to the PeopleSoft system; however, they were unable to log in until their official start date. This often caused confusion and frustration, resulting in an increase in help desk tickets and inquiries to HR. The experience did not align with the positive and welcoming first impression we aimed to create for new employees.
PreBoarding rollout
The solution was initially planned as a pilot for new student hires. However, due to additional system access and security considerations, we determined that a full rollout would be more effective. This approach helped avoid confusion, ensured consistent access controls, and provided a clear, uniform experience for all new hires. While this required us to adjust our rollout strategy, it ultimately supported a smoother and more secure implementation. Moving to the PreBoarding solution enabled us to deliver a more intuitive and seamless experience before day one.
User feedback after deployment
User feedback has been very positive. New hires appreciate the ability to complete tasks before their start date, which helps them feel prepared and reduces first-day stress. Overall, the pre-boarding experience has been well received and has contributed to a better onboarding experience for new employees.
