The University of Western Australia, in conjunction with their partner Deloitte, upgraded their PeopleSoft FSCM system from 9.1 to 9.2, PeopleTools from 8.53 to 8.60, and Oracle database from 12c to 19c. They used this opportunity to improve their user experience with fluid, embrace delivered functionality reducing customizations, and use PeopleSoft-delivered configuration utilities to isolate customizations.

The University of Western Australia is a public research university in the Australian state of Western Australia.

Established as the State’s first university in 1911 and founded with a mission to “advance the prosperity and welfare of our communities,” the University opened in 1913 to just 184 students. Today, more than 28,000 students are enrolled from 115 countries.

PeopleSoft FSCM is the key financial management system for the University of Western Australia. To mitigate the compliance risks, security risks, and business continuity risks associated with maintaining an unsupported release, and with a goal to optimize rather than customize PeopleSoft functionality, the University of Western Australia embarked on an upgrade project.

The upgrade included:

  • Upgrade PeopleSoft FSCM from 9.1 to 9.2.
  • Upgrade PeopleTools from 8.53 to 8.60.
  • Upgrade the database from Oracle 12c to Oracle 19c.
User experience

The University of Western Australia took advantage of significant improvements in PeopleSoft-delivered functionality to automate existing processes.

Use of fluid after upgrading to 9.2 resulted in a highly improved user experience. WorkCenters have been adopted. In addition, a redesign of the chart of accounts was done to:

  • Migrate the BU structure to department ID ChartField.
  • Implement updates for subsidiaries and affiliates.
  • Refine GL accounts.

Configuration

With a conscious decision to reduce customizations, Page and Field Configurator, configurable search, and event mapping have been used throughout the application. Additionally, Application Engine plugins including on exit plugins have been used to branch out into custom code.

Future

The University of Western Australia plans to implement Supplier Portal and eProcurement to help streamline the supplier maintenance and procurement processes.
