Profile Linkage - Agent/Company
The Profile Linkage screen is used to associate a Company, Travel Agent, Contact, Group or Source profile with a reservation (and to the related billing, charge routing and/or commission information, as appropriate). This screen is accessible from the Reservations screen Options menu and from the Billing screen Options menu (Agent/Company button).
The Company, Agent, Group, Source and Contact fields function the same way. If you know the name of the profile, you may type it in the field. Or, you may select the down arrow to go to the Profile Search screen, from which you may search for and select the profile you want. The Profile Search screen also allows you to create a new profile if the profile you want does not exist. (See Profile Search Screen for details.) Make your changes and select the OK button.
When reservation comments are associated with the profile being linked to the reservation, you will have an opportunity to populate these to the reservation when you save your changes.
Note: When default routing instructions exist for the source, agent, company, or billing contact profile being associated with the reservation, you will have an opportunity to populate these to the reservation when you save your changes. See Attaching Default Routing Instructions to the Reservation and Routing Instructions for details.
Company. If the reservation is associated with a company and you want to maintain statistics on this company, link the company profile to the reservation.
Agent. If the reservation is made through a travel agency, link the travel agency profile to the reservation in order to maintain statistics for the travel agent.
Note: Users granted the Reservations>Travel Agent Reservations permission are able to add/edit/delete Travel Agent profiles on reservations. Users without the permission will not be able to add/edit/delete Travel Agent profiles to reservations and the Travel Agent field is view only. Also, a reservation cannot be made using a Travel Agent profile as the Guest Name, if the user is not granted this permission.
Commission. Check boxes are displayed if the OPP_COM Commission Handling add-on license is active and the Reservations>Commission Pay application setting is set to Agent, Source, or Agent / Source. Depending on the application setting, the appropriate check boxes are available and selected by default if a travel agent and/or source is attached to the reservation. To deny a commission to the travel agent and/or source for this reservation, un-select the check box. (This feature is available in PMS and at the property level in ORS.)
Group. If the reservation is associated with a group, link the group profile to the reservation in order to maintain statistics for the group.
Source. If the reservation is made through a reservation service, link the source profile to the reservation in order to maintain statistics for the source.
Commission. Check box is displayed if the OPP_COM Commission Handling add-on license is active and the Commission>Commission Pay application setting is set to Source or to Travel Agent and Source. By default, the check box is available and selected if a source is attached to the reservation. To deny a commission to the source for this reservation, un-select the check box.
Contact. If the reservation is associated with a reservation contact and/or a billing contact, link the contact profile to the reservation. Available if the Profiles>Contacts application function is set to Y.
Party. Available when the Reservations>Party application function is set to Y. A view-only display of the party to which the reservation is attached.
Profile. Highlight an entry and use the Profile button to view that profile.
Detach. Highlight an entry and use the Detach button to unlink the profile from the reservation.
Note: The Profile button and the Detach button are not available when you are highlighting a contact. This is because a reservation may have more than one contact associated with it (i.e., a Reservation contact and a Billing contact) and it would be uncertain which contact you want to display or detach. To display the profile for a contact or detach a contact, select the Contact field down arrow to open the Reservation Contacts screen. From there you may select the contact to see the profile, or remove the Reservation/Billing/Reservation & Billing designation from the contact to detach the contact from the reservation.
