Credit Card Vault Conversion

When the IFC > CREDIT CARD VAULT application function is set to Y and the CC Vault Function check box has been selected for the CCW and/or EFT interface, select the Utilities > Convert Vault CC Information menu option to display the Credit Card Vault Conversion screen.

This utility converts credit card numbers to Unique ID numbers that will be used in place of the credit card to process transactions; it converts all credit card numbers to unique IDs, as well as converts all unique IDs back to credit card numbers.

This utility also validates that the correct structure for Wallets and ACLs exists at the database server level; it conducts error checking and error correcting. The UTILITIES > CONVERT CC INFORMATION permission must be granted.

Note: For troubleshooting purposes, only the records exchanged during the conversion are logged to the table VAULT_CONVERSION_LOG. It is best to run a query in OPERA SQL for the table and then conduct an Export to easily search/view the data (credit card numbers are masked).

Credit Card Vault Conversion Status

Table Name. Name of the table that is currently having the credit card information converted.

Total Records. Total number of records that are in the table.

# Processed. Number of records that have been processed for the table.

% Completed. Displays the percentage complete for converting the credit card information in the listed table.

Status. Displays the status of the conversion, Running, Complete, or Failed

Button Function

Cfg/TestDB. Checks the database configuration and corrects any settings as needed. All other buttons (except Close) will be greyed out until this operation completes successfully.

Test Client. Tests the client connection to the credit card vendor [client certificate and resorts (when in a multi-property schema)]. If this fails, the Log will indicate what has failed.

Pre Auth. Available when the RESERVATIONS > CC PRE CHECK IN AUTHORIZATION application parameter is set to Y and a successful Test of the Credit Card Vault Web Service URL has passed, select to run through memo authorizations for reservations that are authorized and are not yet checked in. At the end of the process, a message is displayed stating, "Authorization for Pre Checked In guests have been completed successfully."

Log. Review any errors that may have occurred or messages relating to the process. Indicates what manual interaction may be needed.

C/I Auth. Available after a successful Test of the Credit Card Vault Web Service URL has passed, select to run through the checked in credit card authorizations for all properties. At the end of the process, a message is displayed stating, "C\I Auth transactions are done" to notify the user it has completed.

Future CC/ID. Available after a successful Test of the Credit Card Vault Web Service URL has passed, selecting this button will have near future reservations credit card information converted before all the historical data or far future reservations.

Convert CC/ID. Available after a successful Test of the Credit Card Vault Web Service URL has passed, select to start the conversion of all credit card numbers.

Close. Exit out of the Credit Card Vault Conversion screen.

Message Examples

The following are messages that may be received during or after the conversion.

Have you done the C/I Auth Transactions? This is displayed immediately after the Convert CC button is selected if the C/I Auth procedure has not been run yet. If the Reservations > CC Pre Check in Authorization application parameter is set to Y, then this message will display as Have you done the Pre Auth and C/I Auth transactions?
This will start converting the Credit Card Data. Do you want to proceed? Displayed right after the Convert CC button is selected.
All the Data are converted already. No more data exists for conversion. Displayed if the credit card data has already been converted and the Convert CC button is selected again.
The response XML is returned blank. Cannot continue Conversion for the table. Displayed if no information is available in the table to convert.
20 out of 90 credit cards had failed. Would you like to continue with the conversion? Continuing may result in a loss of credit card numbers. Credit card numbers are processed in a batch of 90 at a time. If more than 20 credit card numbers are not able to be converted as part of the batch of 90, an error message will pop up asking if you would like to continue. Yes will continue till you reach another bad batch, No will stop the utility where it is, Yes to all will continue till the end regardless of additional failures.
Some credit card details are removed during the conversion. Please check the User Activity Log for more details.

URL cannot be blank. Displayed if a URL has not been entered in the URL field after selecting the Test button.
Synchronize Credit Card Vault is currently being used by <user name>. Displayed if the Credit Card Conversion functionality is in use by another user.
