Rotation Points

The Room Type Rotation functionality, available when the OPV_<version number> OPERA Vacation Ownership System license is active, allows properties to manage which rental units are available to guests based on the unit's rotation points score, helping to ensure that each unit receives a fair chance of being rented.

Note: The Room Type Rotation functionality is available wherever an OVOS reservation can be made, such as the Available Rooms Search screen, the Auto Room Assign screen, the Room Blocking screen, the Room Plan screen, and so on.

Select the Ownership>Miscellaneous>Rotation Points to view the units participating in Room Type Rotation and the rotation points associated with them.

The Rotation Points screen displays the following information:

Search Criteria

Enter one or more criteria and then select the Search button to narrow the results in the Results grid.

Date. Select the calendar button to select a date to display the rotation points for.

Room Type. Select the down arrow to display the Room Type list of values and select the room type(s) to search for.

Room. Select the room/unit number from the list of values.

Search Results Grid

The Search Results Grid displays the following information:

X. An X in this column indicates that the record is selected.

Room. The room number of the unit.

Note: When the Ownership>Component Rooms Rotation Points application parameter is set to Y, rotation points will be reflective between a component suite room number and with the component element rooms numbers that make up the component suite.

Total Points. The total number of points that have been accumulated for the unit.

OOO/OOS. Available when the Rooms Management>Out of Order and/or Rooms Management>Out of Service application functions are set to Y and the Ownership>OOO/OOS Rotation Points application parameter is set to Y. This column displays any Rotation Points that have been accumulated while the selected room had an Out of Order or Out of Service status.

Balance Forward. Visible only when the Property’s business date is earlier than the date when the 1st Rotation Points reset occurs/occurred. The Balance Forward values can be entered and modified only while the business date is within the 1st month from the Rotation Reset Start date or 1st configured period . When editable, this column allows for both positive and negative numeric values up to 7 decimal points. This column allows for the entry of rotation points that a unit may have accumulated, that have not been entered into OPERA due to being accrued with another system. Once these points are entered, they will be considered into the Total Points calculation for rotation assignment.

For Example
If 1000 is entered into the Balance Forward column for Unit 1000 from a previous system and the unit is rented through OPERA creating an additional 235.50 points, the Total Points column will now display as 1235.50 points.

Adjusted Points. This column allows for both positive and negative numeric values up to 7 decimal points to be entered that are applicable to the entire period for the unit, not for a specific date. The adjusted points can be entered and modified any time as long as Property’s business date is earlier or equal to the date when the 1st Rotation Points reset occurs/occurred.. Once these points are entered, they will be considered into the Total Points calculation for rotation assignment.

For Example
If 1000 is entered into the Balance Forward column for Unit 1000 from a previous system and the unit is rented through OPERA creating an additional 235.50 points, but 15 points needs to be subtracted for an AD-HOC adjustment. Then -15 would be entered into the Adjusted Points column and the Total Points column will now display as 1220.50 points.

Random Points. Random points are automatically and randomly assigned by OPERA at the beginning of a period. For additional information, see Rotation Setup.

Calculated Points. The points accumulated after the stay is complete based on the formula defined in configuration.

Prorated Average. The number of points given to a unit, when they decide to join the rental program in the middle of a term.

Report. Select to display a Start Date and End Date report filter and then to display the Rotation Points (ovos_rot_adj_pts) report. This report displays a the information from the Rotation Points screen for the rooms. The Balance Forward points are displayed on the report for the date range that is before the 1st rotation point reset occurred and the Adjustment Points will display for all periods. The Begin and End Dates of the filter are based on the Reset Period Start date and the frequency. If date range spans over multiple reset periods and any unit with points in all the respective reset periods, the unit will be included multiple times with respective Begin and End dates along with appropriate rotation points.

If the Room Type and Room number search filters are used to display only specific data on the Rotation Points screen, then the report also considers the same filters for the report since the report only reflects or is applicable for the rooms/ units displayed on the Rotation Points screen.

Recalculate. Select to recalculate the points for the rooms that are selected with an X. This will include any points entered into the Balance Forward and/or Adjusted Points columns if any values were entered when the Recalculate button is selected.

For Example

Then -15 would be entered into the Adjusted Points column and the Total Points column will now display as 1220.50 points. But if a recalculation is completed for the original 235.50 points update to 225, then the Total Points column will be updated to 1210.00.

Note: The Recalculate button recalculates all of the rotation points for a period. This should only be done if rotation formula has been redefined, or if a specific unit has had a lot of adjustments to its revenue or stay information. For additional information on defining the periods, see Rotation Setup.
