Preferences

The Profile screen Options menu Preferences button lets you associate preferences (such as favorite room type, desired room features and floor location, choice of wine and newspaper, etc.) with the current profile. (You may also access this screen by selecting the Preferences indicator lamp on the Reservation screen or the room Assignment screen.) You may then use this information to enhance your service to the guests and companies you do business with. Related preferences are classified into preference groups. Preference groups contain the specific choices of preferences. (Preference groups and specific preference items within each group are set up in Configuration> Profiles>Preferences. See Preferences Setup for details.)

Note: Should a preference or special preference be added to a profile which is attached to an existing reservation, the preference or special will not be displayed on the existing reservation when viewing the Reservation screen.

Note: If a profile has a global preference associated with it and the preference is deleted from the profile in PMS, the preference will also be removed from the profile in ORS. In a multi-property environment, each property will need to remove the preference from the profile before it will be removed in ORS.

When you select the Preferences button, the Preferences screen opens.

Search Criteria

The following search options may be used to locate preferences associated with the current profile. Enter your options and select the Search button.

Property. Select the down arrow to choose the property with which preferences are associated. (This feature is available when the OPP MHOT Multi property add-on PMS license is active, or when the OPR <version number> ORS license code is active.)

Preference Group. Select the down arrow to choose a class of preferences, such a Newspapers, Room Features, Wine, etc.

Preference. Select the down arrow to choose a specific preference.

Search Results Grid

The search results grid displays all preferences that match your search criteria. The following fields are available for each entry.

Property. Property with which the preference is associated. (This feature is available when the OPR <version number> ORS license code is active. When the OPP MHOT Multiproperty add-on PMS license is active, the Preference screen displays preferences for the current profile at the property shown in the Property search field. The default property is your login property.)

Preference Group.  Category to which the preferences belong.

Description. Text description of the preference group.

Preferences. Comma-separated list of the preferences belonging to the preference group. When a grid entry is highlighted, the complete name of each preference appears in the lower part of the screen.

Distributing Preferences to Other Properties

(This feature is available when the OPP MHOT Multi property add-on PMS license is active, or when the OPR <version number> ORS license code is active.)

One or more preferences may be copied to other properties at the time they are added to the profile or later, by selecting the Distribute button on the Preferences screen. When you select the Distribute button, the Select Preference screen appears. Choose the preference(s) you wish to distribute by clicking in the X column to mark your choice(s), then select the OK button. The Properties list of values appears. Choose the properties to copy the preference to and select the OK button.

Adding Preferences

To associate a new preference entry with the current profile, select the New button on the Preferences screen. The Preference Group LOV displays. From the list, choose the preference group from which you want to select a preference and select the OK button. The Select Preference screen for that preference group appears. Use the search criteria to find the one or more preferences you wish to add.

Select your preference(s) by clicking in the X column to mark your choice(s). Then select the OK button to save your preference selection(s).

If the OPP MHOT Multi property add-on PMS license is active, or the OPR <version number> ORS license code is active, you are prompted whether you wish to distribute the preference to other properties. If you respond Yes, the Properties list of values appears. Choose  one or more properties from the list, then select the OK button.

Editing Preferences

To edit an existing preference group, highlight your choice on the Preferences screen and select the Edit button. (Or, you may double-click on a preference entry.) The Select Preference screen appears, displaying all preferences available for the current property and preference group.  You may search for a new choice of preference by using the search criteria at the top of the screen.  To associate a preference with the current profile, click in the X column to mark your choice.  To un-associate a preference from the profile, click in the X column to un-mark the choice.

Deleting Preferences

To un-associate all preferences within a preference group from the current profile, highlight the preference entry on the Preferences screen and select the Delete button. All preferences that belong to that preference group are un-associated from the profile. To add and remove individual preferences, highlight the preference entry and select the Edit button.
