Room Routing Refresh

When room routing instructions are modified or new ones are created, you can reverse the transfer of financial transactions that have been transferred to another room/reservation as a result of a routing instruction change. When these changes occur, the Room Routing Refresh screen will automatically open. You can use this screen to select the charges you wish to manually transfer back to the source reservation/room. This allows you to keep the financial transactions on the correct reservations in the event that a change to routing instructions occurs.

Requirements

CASHIERING > Functions > ROUTING application setting must be set to Y.

CASHIERING > Parameters > REFRESH ROOM ROUTING application setting must be set to Y.

CASHIERING > ROUTING permission must be granted.

CASHIERING > TRANSFER POSTING permission must be granted.

General Rules for Room Routing Refresh

  1. For all the eligible transactions to successfully transfer, the source or target reservation must be either checked in or have an open folio status or Post Stay privilege. If not, the charges may not be transferred.
  2. In order for you to complete this process, the Routing and Transfer Posting permissions must be granted to your user (see Requirements section above).
  3. Adjustments that are applied to transactions already routed and affected by Room Routing modification will also be included in the transfer even if the associated transaction codes are not part of the routing instruction. These transaction codes are not displayed on the Room Routing Refresh screen.

Transaction Transfer Eligibility

The following transactions cannot be transferred between billing windows or different reservations:

Deleting a Room Routing Instruction

If an existing Room Routing instruction is deleted, the Room Routing Refresh screen will open. This screen displays all the transactions eligible for transfer that have been automatically routed to the target reservation/room and that still exist on the target reservation/room.

Example:
There are two reservations: A source reservation and a target reservation. The source reservation has a room routing instruction with the following configuration: transaction codes 10120, 71150 and 71200 have been set up to automatically rout to another reservation in Room 100011 when posted any time during the entire stay date range.

After charges are posted using these transaction codes, they are routed to the target reservation and displayed on that reservation’s Billing screen.

Note: There might be other transactions that have been directly posted to the reservation in room 100011 or that have been manually transferred from another reservation.

Room Routing Refresh screen

The Room Routing Refresh screen only shows the transactions that have been transferred automatically. Manually transferred charges to the target reservation are not be shown. Only the transactions that are eligible to be transferred are displayed and selected by default.

You can unselect any charges that have been selected by default. These unselected charges will remain on the target reservation instead of moving back to source reservation.

Search Filters

On the Room Routing Refresh screen, you can filter the eligible charges that are displayed by selecting from the following: date range, Transaction Code, Transaction Code Group and Subgroup, Check Number, Reference/Supplement text, or the Cashier Number associated with the charge.

Room Routing Refresh Workflow

After you make your selections and select OK, you are prompted to confirm the transfer of the selected charges back to the source reservation/room with a Yes or No option.

If Yes is selected, the transactions will be transferred to source reservation/room

If No is selected, then only the Room Routing instruction will be deleted.

If you select Close instead of OK, then all the transactions remain on their respective reservations and any change to routing instructions are discarded and not saved.

Application Parameters Affecting Transfer

If the CASHIERING > Parameters > ALLOW ROUTING OF TAX TRANSACTIONS application parameter is set to Y, the charge on the tax transaction codes included in the room routing instructions are displayed and selected on the screen.

If the CASHIERING > Parameters > ALLOW ROUTING OF TAX TRANSACTIONS application parameter is set to N, the charges on the tax transaction codes are not displayed on the screen.

If the CASHIERING > Parameters > AUTO TRANSFER GENERATES WITH MAIN is set to Y, taxes on the respective transaction codes are not displayed on the refresh screen and are automatically transferred when charges on the routed transaction codes are transferred.

If the CASHIERING > Parameters > AUTO TRANSFER GENERATES WITH MAIN is set to N, taxes on the respective transaction codes remain on the target reservation instead of transferring to the source reservation when charges on the routed transaction codes are transferred.

Editing a Room Routing Instruction

The Room Routing Refresh screen appears if a Room Routing instruction is modified to change any of the following attributes:

The Room Routing Refresh screen will display all the eligible transactions (routed to the target reservation/room) that do not comply with the modified Room Routing instruction.

Example:
A room routing instruction is created for transaction codes 1000, 2000, 3000, and there are charges on the target reservation for all three transaction codes. If a user modified the room routing instruction and removes transaction code 3000, the Room Routing Refresh screen will display all the charges on transaction code 3000 from the target reservation. You can unselect the specific charges that you do not want transferred back to the source reservation.

When a Room Routing instruction is modified, OPERA will do the following:

First, OPERA will identify all the transactions that have already been routed to the target reservation/room based on any one or more of the four attributes mentioned above being modified. This also includes all the charges on transactions codes from the source reservation based on the modified Room Routing instructions.

Second, after passing all the applicable transfer validations, OPERA will validate the transactions eligible for transfer. All the charges identified will be displayed on the Room Routing Refresh screen and will be selected by default.

You can unselect any charges that have been selected by default. These unselected charges will remain on the target reservation instead of moving back to the source reservation.

When editing the Routing Limits (Amount, Percentage or Covers) alone or in conjunction with any of the above variables, OPERA only updates the Room Routing instructions. The Room Routing Refresh screen is not displayed.

When modifying the Routing Instructions per Day check box alone or in conjunction with any of the above variables, OPERA only updates the Room Routing instructions. The Room Routing Refresh screen is not displayed.

Adding a Room Routing Instruction

When a new Room Routing instruction is added, the Room Routing Refresh screen appears and displays the charges on all the transactions codes in the new Room Routing instruction. These are all the charges which currently exist on the source reservation/room and are eligible for transfer.
