Authorize Direct Bill

Use the Authorize Direct Billing option on the Billing Privileges screen to direct the cashier to settle a specific folio or all reservations associated with a given profile to Accounts Receivable (direct billing or DB) for later billing, rather than the guest paying by cash or credit card. Any changes to this setting are stored in the User Activity Log. (This feature is available if the Cashiering>Authorize Direct Bill application function is set to Y.)

The Authorize Direct Billing option works with the user permissions AUTH DIRECT BILL and CITY LEDGER CHECKOUT (which allows the user to use a payment type of Direct Bill to settle a bill).

The following are the different combinations and a description of each.

CITY LEDGER CHECKOUT permission = Y for user

AUTH DIRECT BILL permission = Y for user

If the reservation is authorized, the user will be allowed to select the DB payment type and settle without and messages/warnings.

If the reservation is not authorized, the user will be allowed to select the DB payment type and when selecting OK button to post, the message 'This reservation has not been authorized for Direct Bill. Do you want to continue?'. If yes, an entry will be made in the user-log and continue on to the checkout. if no, no entry in the user-log is made and OPERA will return to the payment screen.

AUTH DIRECT BILL permission = N for user

If the reservation is authorized, the user will be allowed to select the DB payment type and settle without and messages/warnings.

If the reservation is not authorized, the user will be allowed to select the DB payment type and when selecting OK button to post, the message 'This reservation must be authorized for Direct Bill in order to continue.' returning the user back to the payment form.

CITY LEDGER CHECKOUT permission = N for user

AUTH DIRECT BILL permission = N for user

Regardless of where he reservation is marked as "authorized," the user will be allowed to select the DB payment type and when selecting OK button to post, the message 'You do not have permission to settle to Direct Bill.' returning the user back to the payment form.
