Navigator

All property staff may use the Task Navigator module to report a problem by generating a Quick Task. QMS also lets you view the status of work request belonging to your department. After accessing the Task Navigator, select the radio button that matches your choice, and select OK.

Your user rights assignment determines the functions available to you. In all four views, your rights assignment decides what functionality is available for you. You may also default the required access view in your setup.

Task Navigator Filters

List all tasks Created/Requested by <department>. As the logged in user you see all reported outstanding or completed work that is linked to your primary department. This means every task created by a user belonging to your department will be displayed in this case.

List All Tasks Assigned/Assignable to <department>. As the logged in user with an assigned department, you see all tasks that are assigned or that have been assigned or may be assigned to your department.

List all tasks Assigned/Assignable to <logged in user>. As the logged in user you see all tasks that are assigned or that may be assigned directly to you.

List All User-Assigned Tasks. Displays all tasks that are Assigned, those that may be assigned, or those tasks that are Underway in the QMS database.

Task Navigator in Active Mode

The Task Navigator in Active mode displays per task (record) the fields described below.

Master Functions/Sub Functions. Symbols are displayed for the following tasks:

Smiling Face

Task assigned, accepted, or completed within the specified unit of response time defined for that task (quick task only).

Frowning Face

Specified unit of response time is greater than due time, and no action has been taken on this task (quick task only).

Closed Folder

Quick task master tasks that are completed or underway within specified unit of response time.

Open Folder

Quick task sub task attached to a master task.

One Bell

Room occupied or reserved indicator.

Two Bells

Quick task originated by a guest when guest is occupying the room.

Hour Glass

Response time counting down within the unit of time specified for the task.

Task Number. Displays the number identifying this task.

Priority. Displays the priority code.

Status. Displays the status code.

Notes. Additional notes that have been entered in a text screen.

User. Displays the full name of the worker or employee currently assigned to or working on the task.

Date/Time. Displays the date and time due.

Age. If this item is a Quick Task, the age of the task is displayed in days.

Location. Displays the full name of the location to which the task applies.

Task. Displays the full description of the task.

Current Task Information

This information area is view-only; no editing may occur.

Reason. Release, Cancel, or Delete task explanation.

Dept. Displays the department that has been paged.

Notify. The number displayed represents the total number of successful pages sent to all level pagers.

Status. Displays the housekeeping status and/or occupancy status.

Shift/Pager, #/Page Sent. Displays the shift name pager, the pager number paged, and number of successful pages sent. These fields only populate when a page is sent. Only numeric entries are allowed.

Dept. Manager. Displays the Department Manager's pager number and the number of successfully sent pages.

Duty Manager. Displays the Duty Manager's pager number and the number of successfully sent pages.

Additional Buttons

New QT. Select this button to enter a new Quick Task.

History. Change to History View to display all the tasks that are completed and have been moved to history.

Active. Change to Active View to display all the tasks that are currently active in QMS. Toggles to the History screen when selected.

Clone In. Log in as another worker or employee to accept a task and thereby inherit the user-rights of this person.

Unselect All. Removes the check mark from all tasks that have been marked for status changes.

Action Menu. Displays all sub functions that can be performed for the task selected.

Search. Find a particular task using the unique task number assigned to it by: task type, date range, requisitioning department, employee assigned, work category, location, task code, guest last name, status, plant item, ID number, or task description.

Filter. Sort the tasks displayed to only those of the selected department or employee.

Note: Double-clicking on the Quick Task opens a window with all task details displayed.

Task Navigator in History Mode

The Task Navigator in History mode displays per task, or record, the fields described below.

Master Functions/Sub Functions s. Master tasks displays a + and Sub tasks display a sequence number. Symbols are displayed for the following tasks:

Smiling Face

Task assigned, accepted, or completed within the specified unit of response time defined for that task (quick task only).

Age. The age of the task is displayed in days.

Location. Displays the full name and/or the location to which the task applies.

Task. Displays the full description of the task.

New Quick Task. Create a new Quick Task from the Task Navigator

Active. Toggle button that switches between History and Active modes.

Edit. Opens a window with all task details displayed.

Search. Find a particular task using the unique task number assigned to it by: task type, date range, requisitioning department, employee assigned, work category, location, task code, guest last name, status, plant item, ID number, or task description.

Action Menu

One of the main goals of the Task Navigator is that the department can manage the task by assigning a status and personnel that will handle the problem to the task. Tasks can have the following status:

Assigned. Task has been assigned to a staff member. Refer to the Assign a Task section for more information.

Due. For quick tasks only. These tasks display several days before due, as configured by the PM_DAY_BF_DUE parameter.

Hold. Task is put on hold for a reason. A reason must be entered once the task is placed on hold. Refer to the Hold a Task section for more information.

No Status ( ). Task has not been dealt with.

Overdue. For quick tasks only; will appear if work is past due.

Released. Staff member cannot finish the work for a reason. A reason must be entered once the task is placed on hold. Refer to the Release a Task section for more information.

Revert. Task has reverted back from Completed or Cancelled status.

Underway. Staff member is actually working on the task.

Create a New Sub Task

Creating a New Sub Task marks a sub task of the task the cursor is highlighting. Select Task Navigator>highlight a task>Action Menu>Split Task>New Sub. You may create a sub task for Quick Tasks.

Many Quick Tasks that are reported by a property staff member require more than one staff member or different kind of staff members to complete the Quick Task. For this reason QMS will allow you to split a Quick Task in one or more sub tasks. Sub tasks are displayed as single records directly under the original task.

On activation QMS will mark the task as a sub task of the highlighted task.

QMS will open a window showing the already existing sub tasks (if any). The window will show the following header information per sub task; Seq # of the sub task, Status, Assigned to user, Description of the sub task, active (Y/N)

From this window you can create a new sub task. QMS opens a second edit window in which you must enter the following information:

You have the option of entering your name (requestor), yet the sub task defaults to the logged in user name. You may also enter a different name.

The work category is automatically selected based on the fault type or Quick Task-code being chosen.

When a task is split into sub tasks, the user may select a sub task from the task database.

When a Quick Task is split into sub tasks, you may select a sub task from the Quick Task database list

You can move back and forward to any of the fields for editing.

QMS saves the sub task as active = yes when the task is concurrent.

QMS saves the sub task as active = no when the task is dependent

When all required fields have been filled the following options are available: New Sub Task, Edit the Task, Delete the Task, and Close.

When saving, QMS checks if the selected combination of property, location, fault and item is already existing or if the Quick Task-code is existing. If yes, QMS will not allow to save the task.

On saving QMS checks the priority tables to see what priority is required and automatically updates if necessary.

Requestor. Default name of the user splitting the tasks.

Location. Default location of the master task (view only).

Task. Select a task from the list of values.

Dependent. Check here if the task is dependent.

On. If Dependent is checked, you must select the sub task it depends on. The list of values only shows the tasks as a sub task of the master task and the other sub tasks linked to this master task.

Assigned to. Select the user to be assigned to the task.

Notes. Use this area to enter additional notes. It will also default any notes attached to the selected task

OK Button. Saves the entries. Until the save, you may edit all entries any time.

Close Button. Performs the same actions as OK button but closes the sub task entry screen and returns to the previous form.

The entry can only be saved if the following fields have Requestor and Task data. If the Dependent box is checked, the On field must also include the task it depends on. On saving QMS makes all dependent tasks non-active and does not display them in the Task Navigator. QMS makes all other tasks active and displays them in the Task Navigator. It refreshes the entry screen so you can enter additional sub tasks. Saving updates the following fields and saves to the task the default available information.

Assign the highest priority to the task, select from task priority, location priority and guest originated priority (refer to the QMS_GUEST_PRIORITY_DEF parameter in System Configuration for default priority if guest and QMS_DEFAULT_PRIORITY for all other tasks).

Differences When Viewing a Sub Task

A sub task may be edited, assigned to another user, released or completed using the same functionality as if it was a task. However the display of sub tasks is slightly different.

Once sub tasks are attached to a task, you can no longer edit or change the status of a task. This is accomplished within the sub tasks.

If the Complete function is activated, QMS follows the same procedure, but at the end of the complete procedure the following tasks are performed:
