What's New in OPERA > V5.0.03.01
V5.0.03.01
The following gives a brief description of New Features introduced in OPERA.
Facility Management has been enhanced in order to provide the ability to create Facility Tasks based on Rate Codes and/or Market Codes, and Schedule a Task with a particular frequency. The user can also configure specific “Guest Requested Tasks.”
A new application parameter, “Advanced Facility Task,” has been added to the Rooms Management group.
When active on the Facility Task (RCAT_FACILITY_SETUP) screen, the user has the ability to configure and schedule a task with a Rate Code and Market Code.
A ‘Prompt’ check box has been added; select the check box to display a free text entry field. The information that is entered into this text box will be displayed when this Facility Task is selected when creating Facility Tasks from the ‘Customize’ button on the Facility Scheduler.
From Configuration > Reservations > Codes > Facility Management > Facility Tasks, a task can be selected as a Guest Requested Task. When selected, this indicates that this task is available only when it is requested by the guest. Guest Requested Tasks will not be automatically scheduled.
Within the Facility Scheduler the user will now have the ability add tasks for multiple days via Date Range or Specific Dates.
The user can select the Reset button on the Facility Scheduler screen to reset the Facility Tasks that automatically have been attached and not configured as Guest Requested Tasks. These Facility Tasks will reset to the frequency that was configured on the Room Type level.
A new report, Facility Task Details (facility_task_details), has been added for the user to Preview or Print current or future reservations with Facility Tasks or Facility Codes associated.
When the ‘Smoking‘ Preference type is marked as a Reservation Preference, time is saved for staff and creating a reservation with a smoking/non-smoking preference is easier.
From Configuration>Profiles>Preferences>Preference Group, for the Preference Group Smoking, the ‘Reservation Preference’ check box has been added for selection.
When Preferences that have this check box selected are attached to a reservation, the user will be prompted if they want to also attach the preference to the profile.
Within the Rate Query Details (RQMAIN00) screen a new ‘Rate Code’ field has been added. This field allows for a partial Rate Code to be entered to simplify locating specific rate codes. The partial Rate Code search will help improve the reservation process, especially where reservations are made over the phone.
Similarly, a partial-search Rate Code field on the Reservation (RSEDIT) and Daily Details (MULTRATE) screens allows the user to enter a rate code or partial rate code and display matches on the Rate Query Details (RQMAIN00) screen.
This feature provides the ability to post from MICROS using a membership number based upon a specific Key Vendor interface.
There is a new configuration item under Posting Accounts called Membership Account. A Payment Method is needed to associate to the account and MICROS will send that Payment Method in the PostInquiry and PostRequest messages.
This configuration will allow a lookup by a membership number associated to a profile. It also initiates the functionality of a MegaSearch and/or autocreating an AR for a profile under specific scenarios.
If the found profile (by membership # query) has a checked in reservation the posting will go to the reservation (no Pre/Post Stay Charging). If the found profile has no reservation but has an AR associated, the posting will go to the AR. If the found profile has neither, an AR will automatically be created and the posting will go to the AR.
If a profile is not found in PMS, a MegaSearch is conducted that will download a found profile to PMS from OCIS and an AR will be created for the posting.
(Assumes MegaSearch functionality between PMS and OCIS (external system and its webservice is configured under OPMS->Configuration->Setup->External Databases)).
Autocreate AR functionality depends on:
The Application Settings Parameter under Cashiering for Automatically Assign AR Number will be active (this displays when Allow Duplicate AR Numbers is not active).
The History (PR_HISTORY) screen has been enhanced to now include Passerby Postings (when the Cashiering>Passerby application function is set to Y), AR Postings (when the Cashiering>Accounts Receivables application function is set to Y), and Credit Bill (when the Cashiering>Credit Bill application parameter is set to Y). These postings will be highlighted in a blue-gray background. The Room column header has been renamed to Room/Fol. and will display the folio number for Passerby, AR and Credit Bills. Since Room Types would not apply to these actions, the Room Type field will display the record type of PASSERBY, AR or CREDIT BILL.
When a reservation record has been entered manually, a bright blue background is now displayed for the record, instead of the bar beside the Arrival field.
The existing Profiles parameter “Allow Profile Merge with AR Accounts or Commissions” has been split into 2 separate parameters to control this functionality independent of whether profile has an AR account or has an outstanding commission.
The two new parameters are:
Allow Profile Merge with AR Accounts - When this parameter is active, profiles with active AR accounts can be merged. All the existing functionality and validations remain in place.
Allow Profile Merge with Commissions - When this parameter is active, profiles with outstanding commissions can be merged. All the existing functionality and validations remain in place.
Upon upgrade, if a property had the original “Allow Profile Merge with AR Accounts or Commissions” parameter active, then both the new parameters will be set active as well.
When the SFTP check box option is selected on the Export File Details screen, the Delivery Configuration button allows you to configure the location and delivery method for sending the selected export file via a secure FTP channel. The Export File Delivery Configuration screen now supports SFTP using public key authentication in addition to existing SFTP using password authentication option. Select the radio button that corresponds to your choice of SFTP delivery method.
When using SFTP using public key authentication users can specify the Host/URL, User ID and Target Directory. For the Private Key File password, when public/private key files are generated (using CuteFTP or a similar tool) the private key file is generated along with a password for the private key file. Enter this private key file password in this field. As you type, asterisks are displayed. Opera will encrypt the password and store it in the database.
Select the Import Key button to import the private key file (generated using CuteFTP or a similar tool). The private key will be stored in encrypted format in the Opera database.
When an export using SFTP public key authentication is generated, an Opera API will access the private key, decrypt the private key using the private key password, then use the private key to encrypt the export file. Finally, Opera transmits the export to the target host.
When printing multiple folios, a folio copy legend (e.g., Original, First Copy of Invoice, Second Copy of Invoice, etc.) can be configured that will print on the folio if Folio Copy Legend setting is Y or W. Y will continue to use the standard or original folio copy legend functionality as determined by placement of the merge code FOLIO_COPY_LEGEND.
W activates the new watermark-style folio copy legend where the configured folio copy legend is printed in the background of the folio, "behind" the folio text. (The watermark folio copy legend is available only for report groups Folios, AR Folios, Post It and Passerby Folios.) N will de-activate the folio copy legend feature.
For those properties that have OVOS license code active, on the Day/MTD/YTD Statistics (stat_dmy_seg) report, a new check box ‘Owner Only Rooms’, has been added for selection.
When the check box is selected the Owner Rooms that are not part of the Rental Program will be included in the report data.
It is now possible to define time zones for employees and have each employee view and handle their activities based on the configured time zone. The activity will show on the user interface in the time zone of the currently logged in user, but will be stored in database time zone time. The functionality can be activated through application parameter ACTIVITY - USE TIME ZONES FOR ACTIVITIES.
Please note that once this parameter is activated it CANNOT BE TURNED BACK TO INACTIVE. Also, when this parameter is active, parameter DATABASE TIME ZONE cannot be changed any longer.
After the functionality is activated, time zoned should be assigned to those users and properties where the time zone is different from the database time zone. After this has been completed, the new utility UTILITIES - DATA - ACTIVITY TIME ZONE CONVERSION must be run in order to make sure that existing activities will show at the correct times in the system for those users that had a time zone assigned to them.
Activity Time Zones affect the following areas:
The Sales Contract (REP_CONT_MERGE) has been extended to also print catering event and resource notes now. If the new flag ’Print Event and Resource Notes' is checked on the report form, a superscript numeric will appear in the event catering section behind each entity that has a note attached.
The notes themselves will print in a special note schedule by numeric indicator after the event section of the report.
