Displaying Delinquent Bill To Customers (DDCU)

Purpose: Use the Display Delinquent Customers function to:

• display a list of delinquent customer bill-to accounts

• display customer bill-to accounts

• perform an A/R inquiry

• display the sales history for an A/R bill-to account

• type notes about a delinquent bill-to account

How to display this screen: Select the Display Delinquent Customer option from the menu or enter DDCU in the Fast path field.

Field

Description

Customer

A system-assigned number that identifies a bill-to customer. See Creating and Updating Bill-to Customers (WCBT).

Numeric, 8 positions; optional.

Name

The name on a bill-to customer account.

Alphanumeric, 42-positions; display-only.

Delinquent amount

The total A/R dollar amount that is considered delinquent. In the System Control table, you define the number of days an invoice must remain unpaid before it is considered delinquent.

Numeric, 13-positions with a 2-place decimal; optional.

Screen Option

Procedure

Display a customer bill-to account

Select Display customer for a customer to advance to the First Display Customer Bill To Screen.

Perform an A/R inquiry

Select A/R Inquiry for a customer to advance to the Select Customer Bill-To Screen (A/R Inquiry).

Display customer A/R history

Select Customer History for a customer to advance to the Customer A/R Sales History Screen.

First Display Customer Bill To Screen

Purpose: Use this screen and the Second Display Customer Bill To Screen to review bill-to account information. These screens include the customer's:

• name, address, and telephone numbers

• account credit limit and credit rating

• account history

How to display this screen: Select Display customer for a customer at the Display Delinquent Customers Screen.

Field

Description

Account #

A system-assigned number that identifies a customer.

Numeric, 7-positions; display-only.

Hold/bypass/fraud

A value that determines the type of credit checking that will apply to this customer.

These codes are:

Hold = Places all orders for this customer on hold for review and manual release.

Bypss = All A/R orders for this customer bypass credit check.

Fraud = Flags this customer as a fraud, places all orders for this customer on hold automatically, pending manual release, and adds a record to the Fraud table for this customer.

Display-only.

Match code

A system-assigned code used to identify duplicate customer records. Match codes are defined in the Match Code table. See Setting Up Match Codes (MMCH).

Alphanumeric, 15 positions; display-only.

Name

The bill-to customer's name. The bill-to customer's name consists of the following components:

Prefix

A title (such as “Mrs.” or “Dr.”) that belongs before the customer's name.

Alphanumeric, 3 positions; display-only.

First Name

The bill-to customer's first name.

Alphanumeric, 15 positions; display-only.

Initial

The first letter of the customer's middle name.

Alphanumeric, 1-position; display-only.

Last Name

The customer's last name.

Alphanumeric, 25 positions; display-only.

Suffix

An addition to the customer's full name (such as “M.D.”, “Jr.”, or “III”).

Alphanumeric, 3 positions, display-only.

Company

The name of the customer's company.

Street

The customer's street address.

Alphanumeric, 32 positions; display-only.

Apt/suite (Apartment/suite)

The apartment number or suite number associated with the delivery address.

Alphanumeric, 10 positions; display-only.

Address

Additional lines for the customer's full address.

Alphanumeric, 30 positions; display-only.

Postal code

A code that identifies the customer's geographic location.

Numeric, 10 positions; display-only.

City

The city associated with the customer's address.

Alphanumeric, 25 positions; display-only.

St (State)

The code for the state associated with the customer's address.

Alphanumeric, 2 positions; display-only.

Country

The code for the country associated with the customer's address.

Alphanumeric, 3 positions; display-only.

Delivery code

This code identifies a business (commercial) or residential address used to identify shipping charges.

Delivery codes are:

B = Business

R = Residential

Display-only.

PO Box

Indicates whether or not the customer's address is a post office (P.O.) box.

Alphanumeric, 1-position; display-only.

Print statement

Indicates whether the customer receives printed statements for open balances and paid receipts.

Language code

This field is informational only.

Alphanumeric, 3 positions; display-only.

Fax

Indicates whether you can fax to this customer bill-to.

Possible settings are:

Unselected = You cannot fax to this customer.

Selected = You can fax to this customer.

EDI

This field is informational only.

Currency code

This field is informational only.

Alphanumeric, 3 positions; display-only.

Email address

The bill-to customer’s email address. See Email Address Validation for information on how the system verifies that your entry is formatted correctly.

Alphanumeric, 50 positions; display-only.

OptIn

Indicates the preferred method of correspondence for the bill-to email address.

Valid values are:

All Emails = Email is the preferred method of correspondence.

Order-only email = Use email for order-related correspondence only; generate a document for other correspondence.

No email = Do not use email for any correspondence; generate a document instead.

Do not ask customer = Do not ask the customer for his/her email address; the customer has already been asked and has declined to provide it. The system does not generate any email correspondence to the customer, even if an email address is specified.

Display-only.

Last statement (Last statement date)

The date on which you last generated a statement summarizing the status of the customer's account.

Numeric, 7 positions (MMDDYY format); display-only.

Phone #'s

The customer's telephone number and phone code.

You can define a telephone number format for each country to map to the phone numbers operators enter into the system. See Setting Up the Country Table (WCTY). Also, the system calls a user-defined program to validate phone numbers outside of CWSerenade if you set the External Validation for Phone Number (E64) system control value to Y.

Alphanumeric, one 14-position field (phone number) and one 4-position field (phone extension); display-only.

D&B rating

The Dun & Bradstreet (D&B) credit rating determined for a commercial customer. This rating is a guide for setting customer credit limits. D&B codes are defined in and validated against the Dun & Bradstreet table. See Working with Dun & Bradstreet Codes (WD&B).

Alphanumeric, 3-positions; optional.

D&B date

The date the Dun & Bradstreet (D&B) rating was assigned to the customer.

Numeric, 6 positions (MMDDYY format); optional.

Credit limit

The total amount available for a customer to order on account.

Numeric, 8 positions; display-only.

Terms

A code that identifies a method by which payment is due. Terms are defined in and validated against the Terms Code table. See Working with Terms (WAPT).

The name on a bill-to customer account.

The total number of A/R credits generated since the customer's A/R account was established.

The dollar amount for open, unshipped orders for this bill-to account.

Invoices

The total number of A/R invoices generated since the customer's bill-to account was established.

Numeric, 5-positions; display-only.

Open A/R

The total unpaid dollar amount on the customer's A/R account.

Numeric, 13 positions with a 2-place decimal; display-only.

Payments

The total number of payments received from the customer since the customer's bill-to account was established.

Numeric, 5 positions; display-only.

Delinquent A/R

The total A/R dollar amount that is considered delinquent. In the system control table, you define the number of days an invoice must remain unpaid before it is considered delinquent.

Numeric, 13-positions with a 2-place decimal; optional.

Avg pay days (Average pay days)

The average number of days between the date an invoice is generated and the date payment for that invoice is posted to the customer's A/R account.

Numeric, 5-positions; display-only.

Last payment

The date on which the most recent payment was posted on the customer's A/R account.

Numeric, 6 positions (MMDDYY format); display-only.

Cash last year

The total dollar amount paid on the customer's A/R account during the previous year

Numeric, 13 positions with a 2-place decimal; display-only.

Cash year to date

The total dollar amount paid on the customer's A/R account during the current year.

Cash life to date

The total dollar amount paid to the customer's A/R account since the account was established.

Numeric, 13-positions with a 2-place decimal; display-only.

Sales last year

The total A/R purchases made on the customer's A/R account during the previous year.

Numeric, 13-positions with a 2-place decimal; display-only.

Sales year to date

The total A/R purchases made on the customer's A/R account since the account was established.

Numeric, 13-positions with a 2-place decimal; display-only.

Sales life to date

The total A/R purchases made to the customer's A/R account during the lifetime of the account.

Aging

The dollar open amount on the bill-to account that falls into the corresponding aging bucket according to the current date and the due date or the invoice date.

Aging buckets are defined in and validated against the System Control table.

Cash flow aging

The total open dollar amount on the customer bill-to account that falls into the corresponding aging bucket according to the current date and the expected receipt date.

Customer A/R Sales History Screen

Purpose: This screen is a snapshot of a delinquent customer's open balance and sales history by accounting period.

How to display this screen: Select A/R History at the First Display Customer Bill To Screen or the Second Display Customer Bill To Screen.

Field

Description

Year

The year associated with a specific accounting period.

Numeric, 2 positions (YY format); optional.

Period

The accounting period associated with a specific year, as defined in the Accounting Period table.

Numeric, 2-positions; display-only.

A/R balance

The total open A/R balance for the specified accounting period.

Numeric, 9 positions with a 2-place decimal; display-only.

Sales

The totals sales for the bill-to account at the end of the specified accounting period. See Working with Accounting Periods (WACP).
