Select the Edit link when you want to refresh rates or make quick changes to the reservation and don't need to check availability. If multiple values exist for any dates of the guest’s stay, use the Daily Details link for editing (see Daily Details above for information).

OPERA Cloud does not conduct any rate/availability when these values are manually changed.

Changes made directly to the Stay Details panel affect the entire reservation’s stay, all nights.

You can move guests from one room to another room before, during, or after check in. The system checks for availability and housekeeping status when moving guests to new rooms. OPERA provides a Reason Code field for explaining each room move.

• Activate the Mandatory Room Move Reasons application parameter in the Reservations group to make the Reason field mandatory.
• View the Room Move screen grid for previous room moves and room move reasons for the selected Reservation.

To Move Rooms Prior to Check In:

1. Open the reservation and select Stay Details.
2. Select the room number assigned to the reservation.
3. On the Room Details pop-up screen, select a new room.

To Move Rooms During Check In:

1. Open the reservation and select I Want To . . . Check In.
2. On the Assign Room stop, search for room availability.
3. Select a new room and continue the check-in process.

To Move Rooms After Check In:

1. Open a reservation and select Stay Details.
2. Select the room number link to open the Room Details pop-up screen.
3. Select Move to Another Room and search for a new room.
4. Select a new room, then select Move Reservation.

Select the Refresh Rates link to ensure you are displaying the most current rate information, particularly when you are updating an existing reservation.

Example 1: If the rate amount is changed from $100 to $150, new reservations are booked at the new rate of $150. If you wish to update an existing reservation made before the rate change, use this option to refresh the rate to reflect the current amount. Refresh updates not only rate amounts, but other rate code details such as changes to packages associated with the rate code.

Example 2: Suppose the Rate Management>Refresh Manual Packages application parameter is set to ON and the Package is manually added to the reservation. If the Price or Allowance is updated for the Package in configuration, then the Price and/or Allowance will be updated in the Package Consumption/Pricing Grid when the Refresh Rates button is selected on the reservation screen.

Access the Refresh Rates link by selecting Edit on the Stay Details screen.

The following parameter settings control the Refresh Rates link:

Note: If the rate amount shown in the Rate field is designated a Fixed Rate and the amount differs from the rate specified by the rate code, when you select Refresh Rates a warning message appears with the option to update or keep the rate amount.

The Change Stay Details link on the Stay Details jump takes you to the Look To Book Sales Screen where you can edit the reservation. You can edit stay dates, number of guests, room types, features, and more.

To Edit Reservations in Look To Book:

1. Select the Change Stay Details link. The Look To Book screen appears.
2. Make changes, then select Search.
3. Select the appropriate room type/rate using either of the following methods:
   • Double selecting a room type/rate opens the Booking Details screen. If satisfied with the change, elect Change Reservation Now to accept the change and return to the reservation Stay Details screen.
   • Or, drag a room type/rate to the Trip Composer and release. Select Confirm to accept the change and return to the reservation Stay Details screen.

Note: Only one user at a time can change a reservation.

Use the Daily Details link on the Stay Details jump to edit the stay details on a per-day basis (room number is view only).

1. Select the Daily Details link. Reservation details appear by date/day.
2. Make changes and select Back.
3. Select Refresh Rates to automatically update rates to the property's current rates.
4. Select View Details for package information.

Changing Details on Shared Reservations

• If all shares have the same date range, changing dates on the shared reservation updates the date on all shares.
• If all shares have the same date range, changing the room type on the shared reservation updates the room type on all shares.

You can review the rate information attached to a reservation by selecting the rate on the Stay Details jump. The Rate Info screen appears and provides a summary of rate information by stay date and fixed charges. The summary also includes a running total of all amounts charged minus any deposit paid.

Rate Info Terms

• Generates - Additional charges that are calculated on a guest's bill, such as room taxes, fees, or surcharges (other than fixed charges).
• Fixed Charges - Charges not included in room rate, package, or generates, such as a fixed charge for golf green fees.

OPERA lets you calculate rate discounts by amounts or by discount percentage and by individual dates or all dates during the guest's stay. You can apply rate discounts on the following screens:

• Look To Book Sales Screen > Book Now pop-up (applies changes to all stay dates).
• Stay Details Jump > Edit link (applies changes to all stay dates).
• Stay Details Jump > Daily Details (applies changes to only selected stay dates).

• Enter an amount or a percent of discount. The system calculates the new rate automatically.
• Enter a Discount Code to provide a reason for the rate override. Discount reasons are defined in Booking > Reservation Management.
• View the Changes Log for rate override activities and details.
• Use the report function to generate a rate override report (report name: res_with_discounts).
