Oracle® Retail Brand Compliance Management Cloud Service

Release Notes

This document highlights the major changes for Release 18.2 of Oracle Retail Brand Compliance Management Cloud Service.

Overview

Oracle Retail Brand Compliance Management Cloud Service is an application designed to meet all aspects of sourcing, developing, and protecting retailer brands. The application provides solutions for product development, compliance, quality, and traceability. It is designed specifically for retail, food service, and manufacturing businesses to develop and protect their brands, manage their suppliers, and ensure full end-to-end product lifecycle management.

Oracle Retail Brand Compliance Management Cloud Service is composed of the following modules:

  • Library enables the issue, receipt, and acceptance of policies, guidelines, and key working documents.

  • Product supports the development of products and production specifications.

  • Project supports the development of project briefs, plans, and workflow management.

  • Supplier enables the identification, selection, and approval of suppliers.

  • Reports - reporting tool for reporting across the system, using standard templates and custom reports.

Oracle Retail Cloud Services and Business Agility

Oracle Retail Brand Compliance Management Cloud Service is hosted in the Oracle Retail Cloud with the security features inherent to Oracle technology and a robust data center classification, providing significant uptime. The Oracle Cloud team is responsible for installing, monitoring, patching, and upgrading retail software.

Included in the service is continuous technical support, access to software feature enhancements, hardware upgrades, and disaster recovery. The Cloud Service model helps to free customer IT resources from the need to perform these tasks, giving retailers greater business agility to respond to changing technologies and to perform more value-added tasks focused on business processes and innovation.

Oracle Retail Software Cloud Service is acquired exclusively through a subscription service (SaaS) model. This shifts funding from a capital investment in software to an operational expense. Subscription-based pricing for retail applications offers flexibility and cost effectiveness.

Client System Requirements


Note:

Oracle Retail assumes that the retailer has ensured its Operating System has been patched with all applicable updates.

The following web browsers are supported:

  • Mozilla Firefox

  • Microsoft Edge

  • Google Chrome (Desktop)

Microsoft has deprecated Internet Explorer 11 in Windows 10 and recommends using Edge as the default browser. Refer to the Oracle Software Web Browser Support Policy for additional information.

Functional Enhancements


Note:

Where new fields, User Interface (UI) changes, or glossary entries are introduced as part of a change, the portal owner may need to apply their own translations of the core system text.

The following functional enhancements are included in this release:

Product Specification: Advanced Packaging Section

To assist retailers with reducing packaging waste and single use plastics, and increasing recycled and recyclable packaging, a new Advanced Packaging specification section has been made available for all the existing specification types including Produce Specifications. This new section provides an alternative option to the existing packaging section allowing for the capture of more packaging and recycling information with supporting reports.

As part of the new section, additional packaging information can also be captured through the use of specification type configurable questions.

More of the packaging data fields are glossary controlled, per specification type which also provides more effective reporting. Recycling Icons are automatically generated based on the configuration of components and associated attributes.

Impact on Existing Installation

There is no change to the existing packaging section. The advanced packaging section is a completely distinct, and optional specification section, thus allowing for a controlled transition to utilizing the Advanced Packaging section should a client choose to do so.

IDCS Integration for Authentication

The means of authenticating identity for access to Brand Compliance moves to Oracle Identity Cloud Service (IDCS).

This is part of a strategic initiative to align with the technology used by other Oracle Retail cloud-based products, establishing a centralized identity management service, with increased security and authentication functionality.

Ultimately, this could facilitate a standard for single sign-on across the Oracle Retail product suite. However, until IDCS can support the organizational structure used by Brand Compliance for self-administration of supplier users, and access control by organization/regional area, Brand Compliance will operate as a standalone IDCS tenant solution for authentication.


Note:

When IDCS integration is implemented for a Brand Compliance portal, the authentication of all the portal users and external systems will be through IDCS. There is not a fallback option of using the current local login.

The data passed to IDCS includes personal information (user name and email address). The user may also manually enter personal contact information in IDCS.

The Brand Compliance Right to Access and Right to Erase/Right to be Forgotten data privacy services are not extended to access IDCS, so the retailer must also check for a corresponding user profile in IDCS and, where necessary, remove the personal information from IDCS.

When a new user is created in Brand Compliance, the User record has a flag set to indicate that its data has been passed to IDCS.


The enhancements include the removal of certain aspects of the current Brand Compliance user authentication and registration processes.

The key features of the introduction of IDCS for authentication are:

  • All users and external systems log in to Brand Compliance using an individual IDCS profile.

  • Each Brand Compliance portal instance has its own dedicated IDCS tenants, one for its production and one for its STAGE/UAT environments.

    The IDCS tenants are installed and configured by Oracle Application Management Services (AMS). An IDCS Administrator IDCS profile is created for the on-going administration by a retailer administrator.

  • A migration tool allows for the mass creation of IDCS user profiles. This facility allows user accounts to be provisionally created, then enabled as part of the launch. External System accounts will also have an IDCS profile created automatically (providing an email address is present in Brand Compliance). The migration tool is run by Oracle AMS as part of the portal upgrade process; it may be run multiple times.


    Note:

    During the migration, the automated sending of email notifications to migrated users from IDCS will be temporarily disabled. This is to prevent users being notified of the new environment as part of the migration until the client is at a position when they are ready to invite their users back onto the portal.

    The notification emails may be manually sent from IDCS, post migration.


    The migration tool can also be used to create IDCS user profiles when refreshing a STAGE/UAT environment with data from the production environment.

  • When a new user or external system is created in Brand Compliance (whether manually, as part of a bulk upload, or by the Users API), a corresponding user profile is automatically created and activated in IDCS. The IDCS profile is automatically assigned to a group that represents its Brand Compliance user role access rights.

    The login id becomes the unique reference that links the Brand Compliance and IDCS accounts. Validation prevents the user account being created if another User or External System record has the same login id.

    The user receives an email notification from IDCS. The email templates are configurable, and the emails can be resent by the retailer administrator, within IDCS.

  • An hourly batch job automatically synchronizes changes between Brand Compliance and IDCS.

    The user maintains their password and email address in IDCS. Changes to the email address are automatically synchronized with Brand Compliance, where the email address is read-only. The login id cannot be changed.

    The user maintains all other account details in Brand Compliance. Any changes to their user roles are automatically synchronized with IDCS, ensuring they are assigned to the appropriate groups for their level of access.

  • In the event of the IDCS tenant not being accessible when a new user account is created, the IDCS profile will be subsequently created automatically on completion of the next hourly synchronization job.

  • The rules for password strength and reuse are configured in IDCS.

  • If a user or external system is deleted, the corresponding IDCS profile is automatically deleted.

  • External systems accounts, used to access the Brand Compliance APIs, are treated the same as users.


    Note:

    IDCS does not issue email notification prior to a password expiring, so in order to ensure continued access to the Brand Compliance APIs, plan for the external system passwords to be changed periodically.

  • An attribute is added to the Brand Compliance Users REST API, allowing for suppression of the IDCS profile. This is of use where users may be referenced in a system, but do not log in to that system; for example, for test environments, or for the synchronization of data in a Global Network Bus (GNB) environment, between satellite and hub portals.

  • The Users REST API has also been changed to prevent the update of login id and email address. If these values are supplied in a PUT update message, they are ignored.

  • As part of the IDCS enhancements, the legacy Orders facility is removed, as it is no longer used. The Order record is removed and the billing code assigned to suppliers becomes optional.

Impact on Existing Installation

The introduction of IDCS for user identity authentication results in the following changes in an existing Brand Compliance system:

  • All login, logout, and timeout are now handled by IDCS.

    A new Brand Compliance Landing page is introduced, which the user can bookmark.

    The standard default timeout is 480 minutes (8 hours) and is configurable. Once the time limit is reached, the user is automatically logged out, regardless of their interaction with the system.


    Note:

    IDCS does not issue a warning prior to session timeout. Any unsaved edits will be lost.

  • Various changes are made to the maintenance of User and External System records.


    Note:

    The passwords of all existing users and external systems will need to be reset (see the IDCS Migration Checklist).

    The password related fields and the option to change password are removed.

    Email address is added to the External System record as a mandatory field.

    Login id and email address cannot be changed in Brand Compliance once the record has been created.

    Validation prevents the account being created if another user or external system has the same login id.

    When the new account is saved, the creation of a corresponding IDCS profile is triggered. An email message is automatically generated from IDCS, instructing the user to set their password and activate their profile. The administrator may re-send the emails from within IDCS.

    The user maintains their Password and Email address in IDCS.

    Changes to email address and user roles are automatically synchronized between Brand Compliance and IDCS.

    The flag in Brand Compliance that disables the login has no effect on the IDCS profile, however it will prevent the user accessing Brand Compliance if the account has been set as disabled.

  • The Open Identity Management link in the Brand Compliance navigation bar open the user's IDCS profile.

  • New (read-only) system parameters are introduced for the IDCS integration:

    Identity Cloud Service URL

    Identity Cloud Service Client ID

    Identity Cloud Service Last Synchronization

    Identity Cloud Service Environment

    Identity Cloud Service Brand Compliance App ID

    Also, system parameters relating to passwords and registration are removed.

  • New user registration email templates (IDCS1 and IDCS2) are introduced.

    Also, the following email templates are removed:

    EXTERNAL SYSTEM PASSWORD EXPIRED - Notify user that an external system's password has expired

    FORGOT EMAIL PASSWORD - Email to facilitate the resetting of password

    NEW USER EMAIL - You have been registered as a new user

    PASSWORD CHANGED - Notify user of their password changing

    REG1 - Registration Request raised by Retailer

    REG3 - Supplier Registration Order

    REGISTER EMAIL PASSWORD - Email to register a user

    SSOOFF - Email sent to users using Single Sign On to access single sign on is disabled

    SSOON - Email sent to users using Single Sign On to access when single sign on is enabled

  • User Management, Network Bus task, and UIM entries relating to expired passwords are removed.

  • The Re-send New User Notification action is removed from the Users list view.

  • A new batch job, ORBC-IDCS User Synchronization, is introduced.

  • Changes are made to Permissions:

    Order Reader, Account Administrator, and Password Administrator are removed (deactivated).

    Surveillance Administrator can create new Test Disciplines.

    Project Administrator can create new Project Sub Statuses.

    Oracle Authorized Administrator has additional access rights:

    • View Static Settings system parameters.

    • Edit the Allow Creation of Multiple Products system parameter.

    • Edit Supplier & Site Coding system parameters.

    • Create new Test Disciplines.

  • The Order record is removed and a billing code is no longer mandatory when registering a new supplier.

  • Authentication with the Artwork module will be achieved using IDCS, instead of calling the current SSO service for authentication. The retailer will need to configure the necessary External System accounts, and assign them to the appropriate IDCS group. The SSO REST API that provides single sign-on from Brand Compliance is removed/deprecated.

  • When retrieving WADL and WSDL files from Brand Compliance, it is no longer possible to save directly from the /services page, so a Windows curl command must be used instead. The steps for achieving this can be found in the Oracle Retail Brand Compliance Management Cloud Service Implementation Guide.

  • Calling a service using a web browser does not generate the necessary header for IDCS authentication, thus resulting in a 401 or 407 authorization error. Instead, a web service tool should be used.

    Prior to 18.2, access was direct from the browser through the load balancer/firewall, into the application. After the first call, a session was established with the application for the authenticated user (the external system), and was used thereafter. From 18.2 onwards, all requests are guarded by IDCS and CloudGate. Using Basic authentication, no user session is established with IDCS and CloudGate. Subsequent requests will need to continue sending the Basic authentication header. Web browsers do not re-send this authentication header.

    A web service tool such as PostMan, SoapUI, or a lower-level tool such as curl or wget must be used in order to be able to send the authentication header for each request while using Basic authentication.

    To avoid sending the credentials on each request, the use of OAuth 2 / OpenID Connect is suggested; establish identity with IDCS to get back an access bearer token and then supply that token on each request to the application's web services.

To update mandatory configuration rules manually:

  1. Select Admin > Products > Spec Configuration > Mandatory Field Rules.

  2. Expand the Active list and select the appropriate area, which is Advanced Packaging.

  3. Identify and open the rule to be edited.

  4. From the Actions menu, select Edit and then update the required fields.

  5. From the Actions menu, select Save and Exit.

Rules can also be managed using an import process from the Manage Mandatory Field Rules option under the Admin > Products > Spec Configuration.

IDCS Migration Checklist

The following post release tasks may be necessary for the IDCS integration:

  • The portal upgrade project will require a task to communicate to users what to expect following the upgrade, with regard to initially setting their IDCS password, and logging in to IDCS rather than directly into Brand Compliance. For this, it may be feasible to utilize the Brand Compliance communication facilities such as News Items, Alerts, or Library Documents.

  • The passwords of all existing users and external systems need to be reset in IDCS. Instructions can be found at the Oracle Identity Cloud Service password administration page: https://docs.oracle.com/en/cloud/paas/identity-cloud/uaids/reset-passwords-user-accounts.html.

  • Ensure the login ids of external systems are not the same as any user accounts.

  • Ensure all users and external systems have a valid email address.

  • Configure External System records for any external systems that call the existing Single Sign-on (SSO) API, such as the Artwork module.

  • Make any changes to the new Brand Compliance and IDCS notification email templates (including any language translations).

  • Enable the required email notification templates in IDCS. Instructions can be found at the Oracle Identity Cloud Service notification administration page: https://docs.oracle.com/en/cloud/paas/identity-cloud/uaids/activate-notifications.html.

  • Remove redundant roles and authority profiles from any user accounts that reference them.

Style Sheets

The Open Identity Management link in the navigation bar has an icon to indicate that it will open IDCS in a pop-up window. In order to display the icon, the system administrator should edit the orbc.theme style sheet as follows:

  1. Select Company > Admin > System Control.

  2. Select the Branding item from the left-hand menu.

  3. Click the link to download the orbc.theme.css style sheet.

  4. Edit the downloaded file, insert this new class beneath the /*Home Page*/ section header:

  5. In the Branding section, select Edit from the Actions menu.

  6. Click the Browse button next to orbc.theme.css.

  7. Select the modified orbc.theme.css file on your computer and click Open. This should upload the modified style sheet into the application.

  8. Click Save and Exit from the Actions menu.

  9. Refresh the browser page using F5. The changes made to the style sheet should now be in effect.

Permissions


Note:

In the following steps, only the columns that have required content are shown.

The following changes should be made in the Admin tab of the Permissions spreadsheet, to permit the Oracle Authorized Administrator to cancel batch jobs:

  1. Add the following row to the end of the Admin page:

    Record Authority Profile Action Data Record User Mode Access Level
    Admin ORACLE AUTHORIZED ADMINISTRATOR CANCEL BATCH JOB NORMAL Y

  2. Amend the following row within the Admin page, changing the Access Level to F (full access):

The instructions for downloading and uploading the amended Permissions spreadsheet are as follows:

  1. Log in as an Oracle Authorized Administrator user and go to Company > Admin > Roles & Permissions.

  2. Open the Permissions page.

  3. Download the active spreadsheet by selecting the row with true in the Active Permissions column, click Download Selected, and save locally.

  4. Edit the downloaded spreadsheet, make the changes described above, then save the spreadsheet.

  5. Upload the edited spreadsheet by clicking Upload Permissions, select the spreadsheet, and click Ok.

  6. Apply the changes by selecting the uploaded spreadsheet row and click Process Selected, then Ok to confirm.

Enabling Artwork with SSO

Artwork is not a core Brand Compliance module, but a third-party add-on application. This process enables the integration with the third-party Artwork application, where it is used.

For existing installations that use the Artwork module, in order to configure single sign on (SSO) between Brand Compliance and the Artwork solution (using IDCS authentication), the following steps must be taken by the Customer or their Partner:

  1. Ensure the MYARTWORK external system has been created in Brand Compliance PROD and STAGE.

  2. Raise an SR service request for creation of the Artwork application for PROD and STAGE. The call back URLs and IDCS URLs must be provided in the SR.

  3. Once created, you will be able to gather the Client ID and Client Secret from IDCS.

Value-Added Reseller (VAR) Language

Oracle Retail VAR Applications

The following restrictions and provisions only apply to the programs referred to in this section and licensed to you. You acknowledge that the programs may contain third party software (VAR applications) licensed to Oracle. Depending upon your product and its version number, the VAR applications may include:

(i) the MicroStrategy Components developed and licensed by MicroStrategy Services Corporation (MicroStrategy) of McLean, Virginia to Oracle and imbedded in the MicroStrategy for Oracle Retail Data Warehouse and MicroStrategy for Oracle Retail Planning & Optimization applications.

(ii) the Wavelink component developed and licensed by Wavelink Corporation (Wavelink) of Kirkland, Washington, to Oracle and imbedded in Oracle Retail Mobile Store Inventory Management.

(iii) the software component known as Access Via™ licensed by Access Via of Seattle, Washington, and imbedded in Oracle Retail Signs and Oracle Retail Labels and Tags.

(iv) the software component known as Adobe Flex™ licensed by Adobe Systems Incorporated of San Jose, California, and imbedded in Oracle Retail Promotion Planning & Optimization application.

You acknowledge and confirm that Oracle grants you use of only the object code of the VAR Applications. Oracle will not deliver source code to the VAR Applications to you. Notwithstanding any other term or condition of the agreement and this ordering document, you shall not cause or permit alteration of any VAR Applications. For purposes of this section, "alteration" refers to all alterations, translations, upgrades, enhancements, customizations or modifications of all or any portion of the VAR Applications including all reconfigurations, reassembly or reverse assembly, re-engineering or reverse engineering and recompilations or reverse compilations of the VAR Applications or any derivatives of the VAR Applications. You acknowledge that it shall be a breach of the agreement to utilize the relationship, and/or confidential information of the VAR Applications for purposes of competitive discovery.

The VAR Applications contain trade secrets of Oracle and Oracle's licensors and Customer shall not attempt, cause, or permit the alteration, decompilation, reverse engineering, disassembly or other reduction of the VAR Applications to a human perceivable form.
