Modify Allocation Dates on the Resource Planning Page

Role allocation values are spread across a time period according to the role's allocation start and finish dates and allocation duration. These values roll up to the project summary level. Deficits occur when role allocation values exceed availability. You may be able to create additional role availability by adjusting the dates in which the role is scheduled to work. This may help to spread a role's allocation over a time period where there is less demand.

You can modify a role's allocation start date to shift the work period earlier or later. You can also modify a project's allocation start date to change the allocation start date of all roles assigned to that project. When updating a role's allocation start date, all existing allocations move along the timescale in accordance with the date. For example, if you move a role's allocation start date one week earlier, the role's existing allocations will also move earlier. However, if you enter allocation units in a time period earlier than the allocation start date, the allocation start date will update, but existing allocations will not move.

Use the Role Availability detail window on the Resource Planning page to monitor the effects of your modifications.

To modify allocation dates:

  1. In the object selector, select a portfolio.
  2. In the sidebar, hover over Resources, and select Resource Planning.
  3. Select an in-progress scenario.
  4. In the table, expand a project to view individual role data.
  5. Select Gantt to display a graphical representation of allocation and project dates across a timeline.

    Note: You can change the timescale interval by right-clicking on the timescale in the table and selecting an option.

  6. To view a specific date, in the Go to field, select a date.
  7. To edit role or project allocation dates:
    • Select a role or project. In the Allocation Start field, select a date for the allocation start.
  8. Select Save.
