Download Resource and Role Spread Data from the Activities Page

As a resource, program, or project manager, you may need to review and analyze resource allocation that spans across multiple planning buckets. From the Activities page, you can download all the spread data for a resource or role and export it into an XLS file for review in your favorite spreadsheet application.

Note: You must have the Download Excel Files privilege enabled to view the Download Entire Spread option in the lower toolbar.

To download spread data for all resources or roles for a program or a project:

  1. In the object selector, select a program or a project.
  2. In the sidebar, hover over Schedule and select Activities.
  3. On the Activities page, in the Open menu, select Current Schedule.
  4. Select the Layout menu, and then select Project Usage. If you are in a program, Program Usage displays instead.
  5. In the detail window, select the Resource Usage or the Role Usage tab.
  6. Select one or more resources or roles from the tree whose data you want to display.
  7. Before viewing your usage data, configure the resource and usage settings to ensure the appropriate information is displayed, such as units or costs, bars and curves, legend details, and spreadsheet formatting in the detail window toolbar, select Spreadsheet to view spreadsheet data. In the spreadsheet, unit or cost values are rolled up for each resource or role and broken down by individual activity assignments.
  8. At the bottom of the detail window, select Download Entire Spread. A popup message displays while the export is underway. You will receive a notification when the export is complete.
  9. In the header, select View notifications.
  10. Select Refresh to to populate the Notifications Panel with your five most recent notifications.
  11. Select the Export Entire Spread notification to view information about the process.
  12. When you receive the notification that the export completed successfully, select Download File to download an XLS file containing all grid and spread data for the selected resource or role.

Note: Users who do not have the Project/Program Costs and Financials View privilege cannot download cost information. Cost and financial fields will remain blank for users who do not have these privileges.
