Creating Subcontracts Manually

Note: If you use an accounting interface with the system, you should not manually create subcontracts.

To manually create a subcontract on the application:

  1. Navigate to the Create Subcontract Page

    The Create Subcontract page displays

  2. Select the Select Organisation button.

    A Select Organization dialogue box opens.

    • Begin typing in an organisation name or other details for a list of matching organisations to display in the dialogue box.
    • By default, only organisations which operate in the same currency as your project display. You can only invite Subcontractors to participate on a project if your currency matches.
  3. In the Contract Number field, enter a number to identify the subcontract.
  4. In the Contract Date field, enter the date the subcontract should begin, or select a date from the calendar dialogue box.
  5. In the Subcontract Item field, enter text to identify the line item.
  6. (Optional) Select additional contract settings.
  7. Select the Save button.

    The Work breakdown (WB) for the subcontract displays.

  8. Select the cell in the Item column, and select the Find button. This enables you to link the subcontract cost code to the Head Contractor WB.

    A dialogue box displays.

  9. In the dialogue box, select the line from your WB to which the subcontract should link.
    • Once you choose an Item, the description automatically displays.
    • If you are not using Client Billing, the subcontract can be linked to a single Head Contract WB line.
    • Generally used when a contract is uploaded, this number categorises work in an accounting package.

      Note: If you use an accounting interface with the system, the item format is dictated by your accounting package.

  10. In the Contract Amount field, enter the amount to pay the Subcontractor for the project.
  11. (Optional) Add a new component.
    1. Select the Add New component button.

      A new line appears in the table.

    2. Repeat steps 7 through 9 for the new line.
      • Ensure the value of the WB equals the total value of the contract.
      • Subcontractors see each component as separate WB tables in a contract. The components can include multiple line items.
  12. From the table, select the Components tab to add a tax code if a tax must be paid for the line item. The project must be set up to include the the Allow Tax Codes/Rates to be Entered project setting.

  13. Select Save.

    A Status page indicates the contract has been created.
