Variations Overview for Head Contractors

The application records complete details of all variations requested and assessed on projects, both up to Owners and down to Subcontractors.

Head Contract Variations

Create a Prime Contract Variation (PCV) on the system to change the project budget (contract value) for the Head Contractor's contract.

After creating the PCV, the application generates an email for Project Managers as a reminder to allocate the variation. Modify the budget on the Variation Allocation page.

The WB is out of balance until the variation is allocated.

Subcontract Variations

Create a Subcontract Variation (SV) to change the contract value of an existing subcontract. Subcontractors can notify you of variations throughout the month, and can request payments against new variations as part of their progress claim.

Tip

The Allocate Variation page shows one variation at a time. If a contract has more than one variation, save the allocations for the first variation to see the next change one display on the page.

After creating the SV, the application generates an email for Subcontractors as a reminder to edit the WB to allocate the variation.

The WB is out of balance until the variation is allocated.

Imported Subcontract Variations

Variations entered in an accounting package can be imported into the application.

Map Variations

If a project uses the Notify HC to map new Subcontract Variation project setting, a Map Subcontract Variation action appears when a variation is imported. The Subcontract Listing screen shows Map Variation under each subcontract impacted by an imported variation.

A Head Contractor can map imported variations for the current period before sending it to the signer. It is possible to map variations if the progress claim is Rejected to PM after it has been sent to the signer. All imported, unmapped variations are then included on the Contract Maintenance screen.

Note: Head Contractors can map variations regardless of whether a Subcontractor's progress claim is sent to the Signer. The updates are reflected in the Head Contractor's current period context.

Match Variations

If your project uses the Variation Register, Subcontractor-requested variations in a Submitted status can be linked to variations imported from your accounting package to reduce double handling.

Hidden Variations

Hidden Variations modify the Contract Sum to Date column in a project's Work Breakdown. They do not appear in the Net Change by Variation column. They are also not identified as variation-related values on the claim (or pay application) documents.

A variation can only be identified as Hidden when it is created. The setting cannot be reversed.

Variation details can be viewed by authorised Head Contractor users, and Owner Participants. This visibility can be removed for any Hidden Variation at any time.

Delete Subcontractor Variation

Subcontractor Variations can be deleted before they are allocated. If the variation can be deleted, a Delete button displays on the Variation Details dialogue.

Reject Subcontractor Variation Requests

You can reject Subcontractor variation requests from the Variations Register tab of the Variations page. In the Status column, select the Submitted link in the row for the variation you want to delete. When prompted, select Reject Variation Request from the drop-down list.

Note: You can also delete a variation request from the Review Variations tab.
