Sub-Tier Management Workflow

A Sub-Tier Contractor or Supplier provides additional labor or supplies for a Subcontractor. If you want to invite a VAT Invoice Only Sub-Tier (VAT Sub) to a project, that organisation must have an account on the system. If the organisation does not have an account, add the organisation through the Invite Organisation page. Manual Subcontractors do not have an account on the application.

  1. Add a Sub-Tier.

    Use the Add Sub-Tier page to add a Sub-Tier to a project.

  2. The Prime Subcontractor includes Sub-Tiers while billing.

    During the payment application process, the Prime Subcontractor can use the Record Sub-Tiers tab to add Supplier information and specify current payments due to Sub-Tiers. Any Sub-Tier organisations added by the Prime Subcontractor on the Manage VAT Invoices page will automatically populate the Record Sub-Tiers tab.

    As a Main Contractor, you can add a Sub-Tier to a draw from the Manage VAT Invoices page.

  3. Requesting VAT Invoices.

    Once Sub-Tiers are added to the project and period, request VAT Invoices as part of a period from the Manage VAT Invoices page. A Main Contractor must include a VAT Sub in a period before requesting a VAT Invoice.

    Note: A Sub-Tier cannot be included in a period without its Prime Subcontractor.

    Once the Prime Subcontractor organisation approves or forwards the VAT Invoice, the status appears on the Manage VAT Invoices page.

  4. (Optional) Upload a VAT Invoice.

    From the View VAT Invoice column on the Manage VAT Invoices page, select the Upload link. If a VAT Invoice is uploaded for a VAT Sub, the organisation cannot sign a VAT Invoice on-system for the current period unless you reject or delete the VAT Invoicedocument.

  5. Update VAT Invoice status.

    From the drop-down in the MC Approval column on the Manage VAT Invoices page, select a completion status.

  6. Apply lien waiver payment holds.

    You select payment hold settings when you set up a project. Select the Apply Holds button on the Manage VAT Invoices page to apply VAT Invoice holds based on project settings.
