Adding Period Participants

Once period initiation begins, a Main Contractor can still add or re-invite participants from the Manage Period Participants page. This page also includes the status of invited Subcontractors.

If period initiation is still in progress, a Period Initiation in Progress information box shows how many Subcontractors were notified. If the system is still processing a previous period, the page will also display a Period Initiation for a prior period in progress information box.

Note: Project Managers can change period settings for an invited participant until that Subcontractor sends the period to the Signer.

To invite period participants:

  1. Navigate to the Manage Period Participants Page
  2. From the Manage Period Participants page, select individual check boxes to invite specific subcontractors, or choose Select All to invite all displayed participants. Subcontractors who have not confirmed their contracts cannot be included in the period.

    Tip: Have several participants? Use filters to shorten the participant list.

  3. From the drop-down in the Payment Application Option column header, choose payment option to apply to all selected participants. Use the drop-down in an organisation's row to choose a payment option for a single participant.
    • Progress Billing Only—Limit the Subcontractor's billing to progress ONLY.
    • Retention Billing Only—Limit the Subcontractor's billing to retention ONLY.
    • Progress and Retention—Allow the Subcontractor to bill for progress and retention.
    • Full and Final—Auto-request previously held retention and reduce the Retention % to zero.
  4. Choose Save and Notify Selected Participants.

    Until the period initiation process concludes, a Period Initiation in Progress link displays on the Period Home page and the Project Home page.
