Prerequisites for Checking Out with an Open Folio

Departing guests may want to checkout but remain on your property to enjoy facilities such as the restaurant or bar. In such cases, you can check out the reservation with an open folio status; resulting in the update of the room status to vacant and the reservation being checked out with an outstanding balance. The open folio status allows guests to continue charging to their reservation account until they make final settlement and close the folio.

Note:

When manually posting a rate code with packages to an Open Folio reservation, the entire rate amount is posted to the transaction code of the rate code. The rate amount is not split into room and package charge amounts. The reason being that the Open Folio reservations are already checked out and do not go through End of Day process as normal in-house reservations. Consequently no allowance creation or profit/loss charge postings occur.

It is important to monitor reservations checked out with an open folio and ensure their settlement. Reservation departures with open folios status will not halt End of Day processing even if the reservation account has an outstanding balance. Reservations with an open folio balance appear on the Guest Ledger. The Open Folio Closing Preference OPERA Control determine the number of days after departure a reservation account can remain in Open Folio status.

The Zero Balance Open Folio Close Days OPERA Control determines when open folios with a zero balance will be automatically closed.
