Creating Events from Templates

Catering templates provide a combination of events and defaulted resources that you can use to quickly create events for a block. You can select pre-configured catering templates provisioned with events and potential resources. The events and their resources are priced separately, unlike a Catering Package where a total price per person is defined for the events and resources.

After booking the catering template on the block, regular event management capabilities are available for adding, deleting, moving, copying, and updating events.

Adding Template Events to Blocks

You can search for templates, save them to the block, and then add more events as needed.

  1. From the OPERA Cloud menu, select Bookings, select Blocks, and select Manage Blocks.

  2. Enter or confirm the Property, enter any additional search criteria, and click Search.

  3. From search results, select the block, click the block’s I Want To . . . action, and select Event From Templates from the Create column.

  4. From the Select Catering Templates, select a template and click Save. You can search for catering templates and specify the following options for the template you select:
    1. Begin Date. Select a begin date for the template. The date must fall within the block’s Booking Dates as shown on the screen.

    2. Set Template Status. Select to set the template status to either the same as the catering status of the block or to the configured default catering status.

  5. Manage Events opens displaying following:
    1. The template events and the ability to sort the order of events.

    2. The block name, ID number, and dates.

    3. The Expand All hyperlink enabling you to see hyperlinks attached to each event.

    4. Columns providing information on each event.

  6. Click the page level I Want To . . . arrow and select Event from the Create column.

  7. In Create Event, enter or select Event type, Event Name, Status, Start Date, Start Time/End Time, Expected Attendees, and other optional information.

  8. Click one of the following button options:

    1. Select Alternate Space. If you select an event space that requires an alternate space (usually for outdoor events), you must select an alternate space. Refer to: Configuring Function Spaces

    2. Save and Copy Event. Saves the event to the template, opens the Copy Event screen, and lets you copy it to another block and date.

    3. Save and Create Another Event. Saves the event to the template and lets you create another event.

    4. Save and Create Sub Event. Saves the event to the template, opens the Sub Event panel on Create Event, and lets you create a sub event.

    5. Save and Manage Event. Saves the event to the template, opens the event, and lets you make changes to the event.

    6. Save. Saves the event to the template.

Editing Template Events

You can search for templates and save them to the block. Edit, Delete, and Copy to Other Date(s) buttons are available for multiple events as well. The Edit button is available only for Premium subscription enabled properties.

  1. From the OPERA Cloud menu, select Bookings, select Blocks, and select Manage Blocks.

  2. Enter or confirm the Property, enter any additional search criteria, and click Search.

  3. From search results, select the block, click the block’s I Want To . . . action, and click Manage Events.

  4. Select Events and select one of the following buttons:
    1. Group Stationery. Enables selecting a report and downloading sample data or report.

    2. Reports. Enables selecting a report and report group.

    3. Copy to Other Date(s). Enables copying the event to a different block and dates.

    4. Edit. Enables editing the event.

    5. Delete. Enables deleting the event.

Editing Template Resources

  1. From the OPERA Cloud menu, select Bookings, select Blocks, and select Manage Blocks.

  2. Enter or confirm the Property, enter any additional search criteria, and click Search.

  3. From search results, select the block, click the block’s I Want To . . . action, and click Manage Events.

  4. Click the page level I Want To . . . arrow and select Event Resources.

  5. Select an event and select one of the following options:
    1. Select a resource and then click Delete, Copy, or Move buttons.

    2. Select a resource’s vertical ellipsis and select Edit, Add Note, Delete, Copy, or Move.

    3. Select the Menus drawer or the Items drawing to add menus or items resources.
