Managing Events

The Manage Events search function provides options for finding events by property, dates, event type, block, account or contact, and so on.
Search results provide columns for the Event ID, Event Name, start date and time, space reserved for the event, number of attendees, event status, and package code (for identifying events belonging to the packages). You can expand events to reveal key details and links to additional information such as Event Details, Event Notes, Revenue Summary, and so on. The Sort By function changes the order of rows and remembers your last selection. View options are Table and List.

Note:

You can also access Events linked to a Block from the Block search screen by selecting the Manage Events details link. For more information, see Searching for Blocks: Advanced Search.

Note:

When the Event Waitlist OPERA Control is active and you select a function space that is already booked by an event this is part of a different block, you will receive the following message: “Function space is not available. Do you want to Waitlist? Select Yes to add the event to the Waitlist.”

Note:

If you select a space that requires an alternate, an asterisk (*) is indicated, and you are forced to select an alternate function space. Click the Select Alternate Space button. Refer to: Managing Alternate Space Events.

Editing Events

You can edit event details from the Manage Events screen.

  1. From the OPERA Cloud menu, select Bookings, select Events, and then select Manage Events.

  2. Enter or confirm the Property, enter any additional search criteria, and click Search.

  3. Locate the event in search results and click Event Details or click the Event ID and scroll to the Event Details panel.

  4. Click Edit.

  5. Update the event details.

  6. Click Save.

Cancelling Events

  1. From the OPERA Cloud menu, select Bookings, select Events, and then select Manage Events.

  2. Enter or confirm the Property, enter any additional search criteria, and click Search.

  3. Locate the event in search result and click Event Details or click the Event ID and scroll to the Event Details panel.

  4. Click Edit.

  5. On the Status field, update the event status to cancelled (or lost or regret).

    Note:

    Event statuses available in the list of values depend on the block status flow configured for your property Block Status.

    Click Save.

Deleting Events

  1. From the OPERA Cloud menu, select Bookings, select Events, and then select Manage Events.

  2. Enter or confirm the Property , enter any additional search criteria, and click Search.

  3. Locate the event in the search result and click the I Want To . . . then Delete Event.

  4. Click Yes to confirm.
