Defining Grouping and Sorting

Use this task to group and sort activities and to specify other settings based on groupings or sortings.

Before you begin this task, open the Layout Options page as described in one of the following tasks:

It is from the context of those tasks that you click the Group & Sort tab to define the grouping and sorting.

When you finish the following task, resume at the step in the applicable previous task where you left off.

To define grouping and sorting for the layout:

  1. Click the Group & Sort tab of the Layout Options page.
  2. On the Group tab:
    1. In the Display area,
      • Select Show group totals to display totals in the grouping band. Clear this option to hide all totals in the grouping bands.
      • Select Show grand totals to display a grand total row at the top of the layout.
      • Select Show summaries only to display summarized grouping bands only. Details under the grouping bands will be hidden.
    2. In the Grid area,
      • You can select to indent a Group By field and indicate the number of levels to indent, specify group interval, select to show page breaks.
      • Select Show Title to display a group band title.
      • From the Group Band Title list, select ID/Code to display the ID or Code value on the grouping band, Name/Description to display the name or description on the grouping band, or Both to display the ID/Code and Name/Description.
      • Select Hide if empty to hide group title bands that do not contain data items within the group. Select if you are grouping by a hierarchical field, such as EPS or WBS, and the project has empty EPS or WBS bands. For example, select this option if you are grouping by WBS in the Activity Grid and the project has empty WBS bands.
      • Select Sort grouping bands alphabetically to sort the grouping bands alphabetically rather than their order in the respective hierarchy. This option is disable for any grouping that is not hierarchical.
      • Use the Font fields to customize the fill color, font, font style, font size, and font color of the field names.
      • You can preview how each Group By field will appear in the Preview column.
      • The maximum number of rows allowed for grouping is 20. To delete a field, click the X.
  3. On the Sort tab:
    1. In the Field Name column, select the field you want to sort by.
    2. In the Sort Order column, select to sort by Ascending or Descending.
    3. You can add and delete Sort By fields by selecting Add and Delete.
