The HCM extract supplies employee, manager, and cost center information for person mapping. Use this source when you want to retrieve the organizational information from Fusion HCM instead of preparing a person mapping CSV file. Project ID mapping is separate and still uses a CSV file. See How Cost Advisor Uses the Mappings.
Coordinate with an HCM administrator who can import, manage, compile, and validate extract definitions and an administrator who can grant the required account access. You also need an identity domain administrator for the next setup step.
The supplied extract retrieves workforce assignments, manager relationships, and department-associated GL cost center codes and names. It uses the department's GL Cost Center Information and the matching value's description. Cost centers maintained only in custom fields, Payroll Costing, or another location aren't covered by this template.
Have the HCM administrator confirm that the target instance provides the PER_EXT_SEC_ASSIGNMENT_UE user entity, the Global Payroll Interface cost center description rule (ORA_HRY_COST_CENTER_DESC), and its ORA_HRY_COST_CENTER_DESC_VALUESET value set. Investigate missing dependencies before changing the supplied definition.
-
Download the Cost Advisor for AI HCM extract package.
In the workspace, select Integrations, and then select Add person mapping. Select HCM connection and Continue. In Prepare Fusion HCM, select Download.
Extract Oracle-Cost-Advisor-for-AI-HCM-Template.zip. The package contains:
Oracle Cost Advisor for AI.xml: The extract definition to import into HCM.
README.md: The setup guide, including prerequisites, import settings, and first-run checks.
Import the supplied definition XML. An XML output file from a completed extract run contains workforce data and can't be used as the definition.
-
Create a dedicated Fusion HCM account.
Create or reuse an active integration account and keep it active. Record the exact Fusion HCM login username for the Integration username field. You select the username. Example account names aren't mandatory. Use a dedicated account rather than an employee's personal account.
Record the Fusion HCM environment's HTTPS base URL and identify its associated identity domain. Omit application and REST paths, query strings, and fragments. For the identity domain, use its base URL, not a sign-in redirect or token endpoint.
Allow the normal Fusion identity and role provisioning to complete for the account in the associated identity domain. Have the administrators resolve any provisioning issues before setting up identity access.
-
Grant extract and data access.
Give the account permission to run the extract, access its results, and read the required workforce data. Have the HCM administrator apply the required data and payroll flow security profiles, limited to the approved worker population.
The account's Payroll Flow Security Profile must include the exact imported Oracle Cost Advisor for AI flow. After importing the definition in the next step, confirm that this flow is selected in the assigned profile.
Permissions to manage the extract are separate from permissions to run it and retrieve its results. See Security Configuration in the HCM Extracts guide.
-
Import and validate the extract definition.
-
In Fusion HCM, go to My Client Groups, Data Exchange, and then Extract Definitions. Select Import or Import Extract, depending on the HCM release.
-
Upload
Oracle Cost Advisor for AI.xml and enter Oracle Cost Advisor for AI as the extract name.
Keep this name exactly. If a definition with this name already exists, have the HCM administrator review the existing definition and update procedure before replacing it. For general extract settings and migration information, see
Define Extracts.
-
Set Changes Only to No, leave the definition-level Legislative Data Group blank, and complete the import.
Review the import confirmation and log. The package is intended for full extraction and isn't tied to a particular legislative data group.
-
Open the imported definition and confirm its settings.
- Type: HR Archive.
- Consumer: Report. If blank after import, select Report and save.
- Root XML tag:
Oracle_Cost_Advisor_for_AI.
- Cost Center Name: Under Eligible Workforce Assignments, Workforce Assignment, confirm the
Cost_Center_Name rule attribute uses Global Payroll Interface cost center description.
The delivery option is Oracle Cost Advisor for AI XML Output, with output type XML and delivery type NONE. A warning about delivery type None is expected for this setup. Cost Advisor for AI retrieves the output and handles storage separately.
-
Compile the generated record formulas and validate the definition.
Follow the setup guide for your HCM release. Some releases compile formulas through Validate, while others provide Compile All Formulas. Confirm that both detail record formulas show V and the definition shows Valid. Resolve compilation or hierarchy errors before continuing.
-
Have the security administrator confirm that the integration account's assigned Payroll Flow Security Profile includes the imported Oracle Cost Advisor for AI flow.
A newly imported definition can have a different Flow ID. Access to an earlier definition doesn't automatically grant access to the new flow. Select the correct flow from this HCM instance and preserve the account's other approved scopes. Confirm that the integration user can find and submit the flow. An administrator's access or a Valid definition alone doesn't establish this.
-
Run a first test and check the output using the integration account's intended access.
Open Data Exchange, Submit Extracts, and select Oracle Cost Advisor for AI. Enter a unique run name and the required Effective Date. Start with the current business date and a known accessible worker population.
Use View Extract Results to confirm successful completion and inspect the output XML. Check the root Oracle_Cost_Advisor_for_AI, manager records ManagerRelationship, and workforce records assignments_record. Verify that the returned people and their cost center codes and names match the intended data access and source records.
The template selects active primary assignments. Eligible workforce assignments also require organization, person, and grade IDs. Workers without source cost center information can have empty codes and names. Don't substitute a department name or cost center code for a missing description.
These checks validate the HCM extract and account access. Cost Advisor for AI connection checks run separately after you add the mapping.
The extract is imported, compiled, validated, and tested, and the dedicated account has access to the correct flow and workforce data.
Return to Prepare Fusion HCM, select the completion checkbox, and select Next. Continue with Set up the HCM identity domain, following Setting Up Identity Access for Fusion Connections.
