Notifications

Notifications include both Web client alerts and e-mail notifications and are used to notify governance users and Data Managers of request activities for requests to which they are associated. The configuration of stages for the workflow model for a request controls whether users are notified of activities taking place in a particular stage and which users get notified.

Note:

Users do not receive notifications for actions they perform.

Select from these Notify options for each stage:

  • None––No users are notified of actions performed for this workflow stage.

  • Assignees––Users who belong to any workflow node access group currently assigned to the request are notified when Assign, Approve, Commit, or Reject actions occur.

    Assignees are only notified if they are members of a workflow access group assigned to the stage with a Notify setting of either Assignees or Assignees and Participants.

  • Participants

    • When Commit or Reject actions occur, users who have submitted or claimed the request are notified.

    • When Approve or Promote actions occur, users who have submitted the request are notified.

    Participants are only notified if they are members of a workflow node access group assigned to the stage with a Notify setting of either Participants or Assignees and Participants.

  • Assignees and Participants––Assignees and participants are notified.

Notifying Users

The following table lists actions that trigger notifications and the recipients of the notifications based on the Notify setting of each stage.

Note:

Notify Users are users who are members of a workflow node access group assigned to a stage with only Notify access to request items. They are only notified if the Notify setting is either Assignees or Assignees and Participants. If the Notify option is None or Participants, then these users are not notified

Web Client Alerts

When a user needs to be notified of request activity, the user receives an alert in the Oracle Data Relationship Management Web client. When a user receives an alert, an Alerts link will appear at the top of any Web page. The Alerts link displays a count of alerts to be viewed. Accessing the Alerts link will display the Alerts dialog where the detailed list of alerts can be viewed. If a user currently has an active session in the Web Client, the Alerts link will immediately reflect alerts that have been sent to them.

To access alerts:

  1. At the top of the Web page, click Alerts.
  2. Click on an alert to view detailed information.

    Note:

    You can clear all alerts by click Clear All.

Note:

When clicking the link to open an Alert, the Request instance page opens showing the current state of the request. All activity for the request is displayed regardless of when the Alert was issued.

Example 8-3 Email Notifications

Governance users may also be made aware of request activities using email notifications. This type of communication is useful to alert users who do not have an active user session or who may not frequently access Data Relationship Management. An email notification will be sent when a Web Client alert is raised.

  • The subject of the email will indicate the request and the activity that took place.

  • In the body of the email, users can view the request header, request items, and recent request activities.

  • To view property details for request items, view all request activities, or take action on a request, a hyperlink is available to directly navigate the user to the request in the Web client after being authenticated.
