Instances

By default, the workflow process details open in the Instances tab. With information of on the Average Run and the Longest Run. The Instances tab provides you the details for Key Data, Originator, Status, Start Time, End Time, and Duration. The workflow process instances are arranged from newest to oldest.

You can expand the node further to view the details for each workflow task. The system displays a bar chart with a timeline for each workflow task. You can hover over the bar chart to view more information about a particular task. The tasks with error are displayed with an error tag.

Below the bar chart and the timeline for the tasks, you get a detailed view of Task, Resource, Start Time, End Time, Duration, and the Task Type.

Under Resource, you can view to whom a specific task is assigned and its the task status is listed under the Status column. The Task Type defines the nature of the task, for example, Message Assignment.

You have the following options available based on your access levels and the task types:

  • Override

    If you designed your workflow process to enable higher -level overrides, you can override the message approval process for messages that have not been answered by a lower -level recipient.

    The Override option is enabled if all of these conditions are met:

    • You exist in the address book.
    • You are a member of a higher -level group than the recipient for whom the message was intended.
    • The message is unopened.
    • The message has an active shortcut.
  • Reassign

    Workflow users can monitor all workflow tasks but can reassign only their own workflow tasks to authorized delegates. In the Workflow Monitor, click the node of the workflow task that you want to reassign. Click the node of the active workflow instance to open the detailed view of the instance. Click the Reassign icon. The Task Reassignment form appears. Follow the steps in To reassign active workflow tasks.

  • Admin Reassign

    Using the Workflow Monitor, workflow administrators can monitor all workflow tasks in the system and reassign a workflow task to a different delegate if necessary. click the node of the workflow task that you want to reassign. Click the node of the active workflow instance to open the detailed view of the instance. Click the Admin Reassign icon. The Task Reassignment form appears.

  • Attachments

    Attachments allows enable you to review attachments associated with a task The Attachment icon is visible only when the workflow task has an attachment.

Process Diagram (Release 9.2.8.3)

Starting with Tools Release 9.2.8.3, the system provides a view of the complete workflow process. Expand the Process Diagram node to view the workflow process. The steps are shaded to indicate whether or not they have been executed in this particular workflow instance. Status badges show the status of each task, including information such as completed, failed, and running. The tasks that are not executed within a particular workflow instance are faded out.

You can view the Process Diagram in the Summary tab as well.

Note: Based on your screen resolution, you must click and drag the diagram workspace to view the complete workflow process.

Gantt Chart (Release 9.2.8.3)

The system displays a Gantt chart with a timeline for each workflow task. You can hover over the chart to view more information about a particular task. The tasks with errors are displayed with an error tag.

You can also get a detailed view of Task, Resource, Status, Start Time, End Time, Duration, and the Task Type.
