Example of Data Selection Setup for a Balance Sheet Statement

This example of data selection for a balance sheet statement uses the following scenario:

  • The statement definition includes two row definitions: one for assets (Assets), and one for liabilities and shareholder equity (Liabilities).

    Both row definitions are set up to include the grouping element AID (account). You need separate rows because you will specify different data selection for each row definition.

  • Column 1 is set up for the current year-to-date (Current YTD).

  • Column 2 is set up for the prior year-to-date (PYYTD).

  • You will run the statement for Company 123.

The system enables you to set up data selection to specify the account ranges, company, business unit, and other information in the row definitions, in the column definitions, or in the statement version. The system considers the data selection associated with the statement version at every step of data retrieval. Because you want to retrieve accounts balances for Company 123 for all rows and columns, you decide to associate the data selection for the data item CO (Company) to the statement version. You associate the data selection for the specific accounts to the rows that will include the specific accounts.

For example, if your asset accounts are in object accounts 1000-3999, you specify OBJ as the data item in the Query Manager panel and specify a range of values between 1000 and 3999.

Liabilities row

Range of liability and shareholder equity accounts for the data item OBJ (object account).

For example, if your liability and shareholder equity accounts are in object accounts 4000-4999, you specify OBJ as the data item in the Query Manager panel and specify a range of values between 4000 and 4999.

Current YTD column

No data selection.

PY YTD column

No data selection.

Statement version

Specify CO as the data item in the Query Manager panel and specify 123 in the values list.

When you generate the balance sheet statement using the data selection specified for this statement, the system retrieves the account balances for accounts 1000-3999 for the Assets row for Company 123, and the account balances for accounts 4000-4999 for the Liabilities row for Company 123.

Because the company is set up in the statement version and not in any of the row or column definitions, and the specific accounts are specified in the data selection for each row definition, there are no conflicts in data selection. The lack of data selection for the column definitions is acceptable because the balance type option for the column definitions are set up for Current YTD and Previous Year YTD. The Current YTD and Previous Year YTD balance types inform the system to retrieve only the account balances that fall within those time periods for the ledger types specified for the column definitions. Because the data selection that you set up at the statement version level is applied to the column definitions as well as the row definitions, the system retrieves the current YTD and previous year YTD account balances for only Company 123.
