Using Subtotal Row Definitions

You can use subtotal row definitions to specify which sections to include in a subtotal line on your financial statement. When you add the subtotal row definition to a statement definition, you specify the range of sections to include in the subtotal line on the financial statement. All of the sections that you include in the range must use the same column definitions.

You can also specify whether to include other subtotals in the subtotal output. For example, if you add a subtotal row definition as section 5 of your statement definition and specify to include sections 1-4, if section 2 is for a subtotal row definition, you can include or exclude the section 2 subtotal from the section 5 subtotal.

If a statement definition section includes a row marked for sign reversal and you include the section in a subtotal, the system calculates the subtotal prior to the reversing the sign for the balances retrieved for that row.

Note: Subtotal row definitions must be in a section with no other row definitions.

The following example further explains how to use subtotal row definitions in a statement definition:

Suppose that you have the following sections in your statement definition:

  • Section 1: Three data with grouping elements row definitions.

  • Section 2: Three data with grouping elements row definitions.

  • Section 3: Subtotal of sections 1 and 2.

  • Section 4: One data with no grouping elements row definition.

  • Section 5: Subtotal of sections 1 through 4, excluding subtotal sections.

  • Section 6: Three data with grouping elements row definitions.

  • Section 7: Three data with grouping elements row definitions.

  • Section 8: Subtotal of sections 1-7.

    In this example, when you enter values for Section 8, you enter 1 in the Section From Number field and enter 7 in the Section Thru Number field. If you select the Include Subtotals check box, the system will include the subtotals from sections 3 and 5.

The system applies theses validations to the section numbers that you enter in the Section Number From and Section Number Thru fields:

  • The value in the Section Number From field must be less than the value in the Section Number Thru field.

    For example, to include section numbers 1-3 in the range, you must specify 1 in the Section Number From field and specify 3 in the Section Number Thru field. If you enter 3 in the Section Number From field and enter 1 in the Section Number Thru field, the system issues an error message and you must correct the entries.

  • The section numbers of the sections that you specify for the range must be less than the section number that includes the subtotal row definition.

    For example, if your subtotal row definition is in section 4, then the value in the Section Number From field can be 1, 2, or 3, and the value in the Section Number Thru field can be 1, 2, or 3. If you enter 1, 2, or 3 in the Section Number From field and enter 5 in the Section Number Thru field, the system the system issues an error message and you must correct the entries.
