Share a Workbook

When a workbook is saved in a shared folder and user permissions are set for sharing, you can copy the workbook's URL and share it with those users.

You must save the workbook in a shared folder and grant appropriate privileges to the workbook.
How the workbook is displayed when the user opens it depends on the user's permissions and how the workbook was set up.
  • If the use has read-only permissions, then the workbook is displayed in View mode and the user can't access Edit mode to edit the workbook.
  • If the shared workbook is displayed as a presentation flow in the Present page, then how the canvas preferences are set determines how the user can interact with the presentation flow in Preview. See Open the Presentation Flow.
  1. On your home page, hover over a workbook, click Actions, and select Open.
  2. Save the workbook to a shared folder.
    If you don't have a shared workbook folder, open the workbook in Edit mode, click Save As, then click New Folder, enter a name, and click Create.
  3. Grant roles to the shared workbook to enable users with the same roles to view or edit the workbook as appropriate.
    1. On your home page, click Navigator Navigator icon used to display the Navigator, and then click Catalog.
    2. Click Shared Folders, and then navigate to the shared workbook.
    3. Hover over the workbook, click Actions, and click Inspect.
    4. Click the Share tab.
    5. Add or edit roles as appropriate.
      Role Description
      BI Consumer Enables users with this role to view workbooks and control which filters they use.
      BI Content Author Enables users with this role to edit workbooks.
  4. Copy the workbook URL and share with your users.
    Users can now access the workbook from the catalog.
