Configure Task Assignment Notification

Set up task assignment notifications to send an email to an assignee when a task is assigned.

  1. Select the Task element in your workflow.
  2. Open the Edit task pane using either of the following options:
    • Select the task and click Switch view icon on the side of the canvas.
    • Select the task, click Actions Actions icon and then select Configure.

    The Edit task pane appears.

  3. Select the Notifications tab.
    By default, task notifications are turned off.
  4. Select Task assigned to send a notification when the task is assigned to a reviewer.
    The Assignment section appears.
  5. In the Subject field, review the prepopulated subject line.
    The task title is populated from the value you configured in the Task title visible to assignee field. See Configure Tasks.
  6. In the Message Body field, review the prepopulated HTML template for the email body.
    If required, you can update the HTML template to customize the email body. See Customize the Notification Email Body.
  7. Close the Edit task pane to save the configurations.

At runtime, the task assignee receives a notification email such as the one below:


A task notification email sent to an assignee. Task details such as Requestor, Created Date and Instance ID are listed from top to bottom. Two action buttons APPROVE and REJECT are present. At the bottom, a View in Browser link is present.

Selecting an actionable button in the email, such as Approve, Reject, or Submit, or selecting the View in Browser link, opens the Process Automation Workspace in a browser. The assignee can then take appropriate action on the assigned task from the Process Automation Workspace.

Alternatively, if email-based approval is configured for the assignee in Process Automation Workspace, the assignee can take action on the task directly from the email and receive an automatically generated reply.
