Start a Conference

In Collaboration, you can start a conference using two ways. You can use the Start Conference option to invite other users for a chat. Or, you can use the Group Message option to chat with a user group.

In Collaboration, you can start a conference to chat with multiple users at once. Conferences let all participants see each other’s responses in a shared conversation thread. You can include only up to 1,000 participants in a conference.

To Start a Conference:

  1. From the Collaboration window, click the new conversation icon
  2. Search for or select the user you want to start a conversation with.
  3. Click the invite user icon to add another participant to the chat.
  4. Repeat Step 3 to continue adding participants, up to a maximum of 1,000.

To Start a Conference from Group Message:

  1. From the Collaboration window, click the new conversation
  2. Click Group Message.
  3. Select a User Group, Collaboration Group, Org Unit, or Bucket from the list.
  4. Click Next, then select the Conference
  5. In the Add Conference Name field, enter a name for the conference.
  6. Click Start Conference.

To Work with Participants:

  • Click Show to view all users in the conference. If the participant list is large, use Show All to expand and see the full list.
  • A collapsible participant list makes large conferences easier to manage.
  • Use View Past Participants to see users who were previously part of the conference, even if they’ve left.

During a Conference:

  • All messages in the thread are visible to every participant.
  • Participants can leave the conference at any time.
  • Only the conference initiator can add new participants based on resource visibility; other users can only add participants from their Collaboration Groups.
Note:
  • Conferences are automatically disabled if the participant count exceeds 1,000.
  • For broader communication without discussion, use Broadcast instead of Conference. Broadcasts can include up to 25,000 users.
  • Conferences do not end until the last participant leaves. If you leave, the conversation remains active until everyone exits.
