Managing Services

The Services (Homepage > Application > Services) option allows you to view the status of certain service related tasks. Green indicates that it's running. Actions to take from Services are Run Now or Restart.

Note:

You can use Run Now to take an immediate action such as run open tasks. You should only use Restart if there was a service shutdown and this option is not green. Restart resets the service without running the service itself.
  • Post Enterprise Journals: Used only manually by the service administrator. All the journals in ready-to-post status and having a Direct Integration option selected will trigger the journal posting process.
  • Process Enterprise Journals: Used to send emails; both Action and Late emails. The Action emails are send only once when the due date of the current workflow responsible user is not passed and the late emails are send every day 5.25 AM until the current responsible user performs the task. The subsequent users of the workflow will also be notified if their due date is also passed though they are not currently responsible for the journal.

    Note:

    • If the workflow user is a team/group, and it is not claimed by any user, then the email is send to all users of the team/group. This option will also send email to all users of that group/team (even after it is claimed).
    • This option will also trigger those journals whose start date falls on that particular date for data collection.

    The Service Administrator can also run this service manually from the services card.

  • Process Supplemental Data Forms: Used to send emails; both Action and Late emails. The Action emails are send only once when the due date of the current workflow responsible user is not passed and the late emails are send every day 5.20 AM until the current responsible user performs the task. The subsequent users of the workflow will also be notified if their due date is also passed though they are not currently responsible for the form.

    Note:

    • If the workflow user is a team/group, and it is not claimed by any user, then the email is send to all users of the team/group. This option will also send email to all users of that group/team (even after it is claimed).
    • This option will also trigger those forms whose start date falls on that particular date for data collection.

    The Service Administrator can also run this service manually from the services card.

  • System Maintenance: Refers to actions that Task Manager performs routinely within Tasks, such as the user synch process and cleanup of the database and is not the same as actions taken at the Cloud level called Daily Maintenance. Daily Maintenance is accessed by clicking Tools, then Daily Maintenance, includes actions such as operational maintenance and backup snapshots performed in the Cloud on test or production environments.
  • Task Email Notifications: Used to notify users that work has been assigned to them. A Service Administrator can use the option on Services to Restart or Run Now.

    Note:

    • There is a separate option that a Service Administrator can use to turn off email notifications under ApplicationConfigurationSettings System Maintenance Process.
    • Email notifications contain service and tenant information in the footer to help identify where an email is coming from.
  • [Schedule Name] Monitor: Available for each schedule that is open and with tasks in the future. This option checks if any tasks need to be open in a schedule.
  • Task Status Update: Background service which executes and monitors the process automated tasks.
