Creating Enterprise Journal Templates

Journal templates simplify the journal creation process and are useful for journals that need to be created for every period.

To create and work with Enterprise Journal templates, you must be an Administrator or Power User.

When creating templates, you must specify whether the template can be used for creating ad-hoc journals, select the users who are allowed to create them, and predefine the approver routing for ad-hoc journals. Individual users, teams, or groups can be defined as approvers and the approval path can be assigned to preparers of ad-hoc journals.

To create Enterprise Journal templates:

  1. On the Home page, click Application, and then click Enterprise Journals.

  2. Click the Journal Templates tab on the left.

  3. Click New.

  4. On the Properties tab, provide the following information:

    • Name - Enter a unique template name. You can enter a maximum of 255 characters.

    • Description - (Optional) Enter a description. You can enter a maximum of 255 characters.

    • Section:
      • Name: You can enter a maximum of 80 characters.
      • Column
    • Target - From the drop-down list, select a Target from the list of supported targets defined by the Administrator.

Save Work In-progress Templates and Validate Journal Templates Before Deploying

You can save Enterprise Journal templates when their configuration isn't fully complete and therefore ready for deployment. When saving, a warning message indicates missing or incorrect information. However, you can ignore the warning temporarily and continue to save the template. This allows you to return later to add the missing information and map all the required fields from the target before deploying the template.

After you’ve completed adding all the information to the template, you can use the Validate option from the Action menu to make sure that the template is ready for deployment.

To validate the template, select the period, select the template that you want to validate, and click Validate. This starts the Validate Journal Template non-consolidation job for enterprise journal templates. After the job completes, the validation results are displayed that indicate whether the template is valid or if any errors need to be corrected. You can validate multiple templates at once.
