Overview of User-Defined Holds

Set up rules to automatically place or release a hold on an invoice. By automatically applying and removing holds based on business-specific criteria, user-defined holds minimize manual intervention.

Evaluation for user-defined holds occurs for all invoice sources such as supplier portal, IDR, and electronic invoicing. Payables assesses each invoice against a configurable set of rules to decide whether a hold must be placed on it. The invoices might be created automatically by the import process or manually through the UI.

The rules are examined not just for putting holds on invoices, but also to ascertain whether an existing hold on an invoice should be released. User-defined holds allow users to have total control over how they design their own rules using attributes from invoice lines, descriptive flex fields, invoice headers, and so on.

You can download a Payables-specific spreadsheet-based template from the application to set up the rules. After specifying the rules in the template, upload it back to the application. During the template upload, the program verifies that the rules are configured using appropriate attribute values and displays errors for any validation failures.

Important: User-defined holds aren't applied for the following.
  • Holds that are predefined in the application, such as matching, line, and distribution variance holds.
  • Invoices created automatically by the application or through import job in Validated status. For example, invoices created for refunds from the Accounts Receivables module, or One-time payment invoices can't have user-defined holds applied on them.

Reviewing Rule Configuration Sources

The sources for the rule configuration are predefined and users can't add their own. You can review the available sources by following these steps.

  1. Navigate to Setup and Maintenance.
  2. Search for the task Manage User-Defined Rules for Payables in the Define Payables Configuration task list.
  3. Select the User-Defined Holds template and click the download icon.
  4. Navigate to the User-Defined Holds spreadsheet.
  5. In the Rule Conditions, you can see column labels that have drop-down lists that show the available sources.
