Update Fiscal Document Manually

You can manually enter a fiscal document in the Manage Fiscal Inbound Documents page.

When you click Calculate Tax or Validate Fiscal Document, the taxes are calculated per the tax configuration. In this case, both the Fiscal Document Tax Amount and the Tax Amount attributes capture the calculated value. You can update the Fiscal Document Tax Amount if necessary.

Irrespective of the mode of fiscal document creation, only the taxes captured in the Fiscal Document Tax Amount field are processed for downstream transactions. You cannot update the tax information in the fiscal document once the fiscal document status changes to Completed Prevalidation.

To enter a manual fiscal document related to a purchase order, follow these steps:

  1. From the Fiscal Document Capture work area, navigate to the Manage Inbound Fiscal Documents task.
  2. Click Add to create a new fiscal document.
  3. In the Fiscal Document page, enter the header information of the fiscal document.
  4. In the Lines region, enter line information for each fiscal document line.
  5. Click Save.
  6. In the Charges region, click Add Row to add charges.
  7. Select the charge name as Freight, Insurance, Miscellaneous, or Discount.
  8. Allocate the charge amount to the corresponding fiscal document line.
  9. From the Actions menu, click Capture Fiscal Attributes.
  10. In the Fiscal Attributes page, select the payment option of the transaction as Cash, Installment, or Other.
  11. Select the industry type when specific industry attributes are required.
    Note: This field is only relevant for goods and mixed fiscal documents. Possible values are Fuel, Medicine, Sugarcane, Vehicle and Weapon. For each selected industry, only the corresponding fields are displayed. For example, for Fuel, the specific fields related to this industry, such as Fuel Product Code, Clearance or Authorization Code, Fuel Quantity at Ambient Temperature, and Destination State are captured.
  12. Enter the withheld amount for Social Integration Program (PIS) as the total withheld amount of contribution for Social Integration Program.
  13. Enter the withheld amount for Social Security Financing (COFINS) as the total withheld amount of contribution for Social Security Financing.
  14. In the Line Information tab, enter the legal message text and proceeding information if they are specific to fiscal document line.
    Note: If you need to include legal messages at the header level, use the Additional Legal Information tab instead.
  15. In the Additional Legal Information tab, click Create to add a new legal message text.
  16. In the Legal Message Code field, enter the internal code of the legal message.
  17. In the Legal Message Text field, enter the text of the legal message.
  18. In the Additional Taxpayer Information tab, click Create to add a new taxpayer information text.
  19. In the Sequence field, enter the logical sequence of the text related to the additional taxpayer information.
  20. In the Information of Taxpayer Interest field, enter the text related to the additional taxpayer information.
  21. In the Freight Information tab, select the freight type as No freight, Freight on third party, Freight on receiver account, or Freight on sender account.
    Note: This tab is only enabled for goods and mixed fiscal documents.
  22. Enter the additional transportation information for Wagon Identification, Ferry Identification, Quantity, Type, Brand, Seal Number, Container, Net Weight, and Gross Weight fields.
  23. In the Additional Freight Information region, click Create to add rows.
  24. Enter these values:

  27. Vehicle License Plate Enter the vehicle license plate number.
  28. State Enter the vehicle license state code.
  29. National Register of Freight Carriers Enter the vehicle national registration number of freight carriers.
  30. Click Save and Close.
  31. In the Lines page, in the Schedules region, add schedule rows and select the corresponding purchase orders.
  32. Click Save.
  33. From the Actions menu, click Validate Fiscal Document.
  34. In the Lines page, in the Taxes tab, review the calculated taxes and update the Fiscal Document Tax Amount if necessary, as the downstream processes consider this tax amount.
  35. In the Holds and Validation Errors region, check if there is any hold or validation error. Correct any invalid information and release the holds for the fiscal document.
  36. From the Actions menu, click Validate Fiscal Document.
  37. If there is no hold or validation error, the fiscal document status changes to Completed Prevalidation and the tax information cannot be updated.
  38. From the Actions menu, click Confirm Item Deliveries.
  39. Click Save and Close.
  40. From the Actions menu, click Validate Fiscal Document.
  41. Once the validation process is completed, the fiscal document status changes to Captured. At this point, a receipt and a Payables invoice are created automatically. The fiscal document tax amount is carried forward to the receipt and Payables invoice.
  42. Navigate to the Scheduled Processes work area.
  43. Submit the Transfer Transactions from Receiving to Costing process to post transaction details from Receiving to Costing.
  44. From the Receipt Accounting work area in Costing, navigate to the Create Receipt Accounting Distributions task. This tasks creates distribution lines for purchase order receipt transactions.
  45. Select the bill to business unit used to process the receipt accruals in a trade transaction.
  46. Click Submit.
  47. From the Invoices work area in Payables, navigate to the Manage Invoices task.
  48. Search for and open the generated invoice.
  49. Review the invoice header, lines, charges and taxes. The tax amount in the invoice is copied from the fiscal document tax amount.
    Note: The associated charges on a transaction can be classified as Freight, Insurance, Miscellaneous or Discount. When these charges are allocated to the fiscal document lines based on the taxable basis formula associated with a tax, the amounts are included in the taxable basis amount. Once the Payables invoice is created, you can identify the charge classification by the Fiscal Charge Type column in the Invoice Lines region.
