Enable Customer Accounts for Consolidated Billing
Enable customer accounts for consolidated billing and assign these accounts a completed consolidated billing terms record.
Enable this option for customers with whom you have previously established agreements related to processing and paying consolidated invoices.
You must enable this option and assign a consolidated billing terms record in order to generate consolidated bills for a customer account and its related customer sites.
Considerations for enabling a customer account:
- A consolidated billing configuration applies to all customer sites associated with
the customer account. You must ensure that all sites have the same consolidated
billing requirements.
You can still exclude consolidated billing from certain transactions belonging to the customer account by setting up Billing Exclusions within the consolidated billing terms that you create for the customer account.
- Run the Import Receivables Transactions Using AutoInvoice process for the customer account before enabling consolidated billing, to ensure that all pending lines in the interface table are processed. Any unprocessed lines will be included in the first billing cycle.
- If billing terms are renegotiated with the customer, you must replace the existing consolidated billing terms record with a new one. Any unprocessed charges will continue to use the prior billing terms.
You can update customer profiles for consolidated billing using any of these methods:
- Customer Account Profile: Use the Profile History tab of the Edit Account page to enable consolidated billing on an individual customer account profile.
- Customer Profile Classes: Use the Manage Receivables Customer Profile Classes task to update a profile class record and propagate changes to customer account profiles.
- Customer Upload: Use the Customer Import process to prepare and upload the Customer Import FBDI template.
- SOAP Service Integration: Create or update customer profiles using the available SOAP service.
Update a Customer Account Profile
To enable consolidated billing on a customer account profile:
- In the Billing work area, open the Tasks panel and select Manage Customers.
- In the Manage Customers page, search for and select the customer and customer account you want.
- In the Edit Account page, select the Profile History tab.
- Select the Correct Record action.
- In the Consolidated Billing section, select Enable to enable consolidated billing for this customer account.
- In the Consolidated Billing Terms field, select the consolidated billing terms record that you created for this customer account.
- Optionally enable the Review invoice lines before import
option.
You must enable this option either to print and review draft consolidated invoices before final print and delivery or to create ad hoc consolidated invoices.
Note: It is recommended to confine the use of draft reviews before final billing to critical and high value customers only. Once enabled, all consolidated invoices are generated only after a user manually reviews and clears them for billing, which can delay your overall billing process. - Save your work.
- Repeat these steps for each customer account that you want to enable for
consolidated billing.
If you later choose to disable consolidated billing on a customer account, you must also run the Import Receivables Transactions Using AutoInvoice process to clear all unprocessed lines, including ready-to-consolidate and ready-to-bill lines. This includes any charge lines under draft review.
Update Customer Profile Classes
You can use the Manage Receivables Customer Profile Classes page to create a new profile class or update an existing profile class record for consolidated billing.
After you complete the record and select Save, you are prompted at what level to apply your changes to customer account profiles that use the profile class record:
- Apply changes to new profiles only
Saves the profile class record only. This new or updated profile class record only applies to new customer account profiles assigned this profile class.
- Apply changes to unmodified profiles and version existing unmodified
profiles
Saves the profile class record and applies your updates to unmodified customer account profiles that use this profile class. The previous profile class record receives an end date and remains valid within the effective date range.
- Apply changes to all profiles and version all existing
profiles
Saves the profile class record and applies your updates to all account profiles that use this profile class. The previous profile class record receives an end date and remains valid within the effective date range.
Considerations for each of these choices:
- Use Apply changes to new profiles only when you want to create a new customer account for Consolidated Billing and assign the account this profile class.
- Use Apply changes to unmodified profiles and version existing unmodified profiles when you want to enable Consolidated Billing on a number of existing customer accounts at once.
- Only use Apply changes to all profiles and version all existing profiles if you want to move all customer accounts over to Consolidated Billing. You must also ensure that using this option does not update other important attributes of the profile class that were modified earlier.
To enable consolidated billing on a customer profile class:
- Navigate to the Manage Receivables Customer Profile Classes task and page.
- Search for and select the profile class you want.
- Navigate to the Consolidated Billing section and complete the applicable fields and options.
- Select the Save or Save and Close
button.
The Profile Class Update Options window appears.
- In the Profile Class Update Options window, select the radio button you want to apply your updates.
- Save your work.
