Configure Cash Advance Application

Configure Expenses Agent so employees can apply cash advances when submitting expense reports.

Note: This capability is available starting in 26C.

Before You Start

  • To use cash advance application through email, enable the Expenses Agent capabilities for email-based expense completion.
  • For email-based processing, enable the EXM_AGENTIC_EMAIL_PROCESSING profile option at the user level.

Configure Cash Advance Policies

For each applicable business unit:

  1. In the Setup and Maintenance work area, go to the Manage Cash Advances and Authorization Policies task.
  2. Select the applicable business unit.
  3. Edit the cash advance policy.
  4. Set Cash Advance Application to Manual Cash Advance Application.
  5. Save your changes.

Enable Controlled Configuration

  1. In the Setup and Maintenance work area, go to the Manage Standard Lookups task.
  2. Search for ORA_ERP_CONTROLLED_CONFIG.
  3. Create and save EXM_39058079.
  4. Create and save EXM_39738749.

How Cash Advance Application Works

When employees apply cash advances manually, they can select one or more available cash advances. They can also choose not to apply a cash advance, but they must provide a justification.

Note: Each cash advance has a due date. Employees should apply available cash advances by the due date. After the due date, the cash advance is considered overdue.

For email-based expense completion, Expenses Agent applies a default cash advance to the expense report. From the email notification, employees can:

  • Submit the expense report with the default cash advance.

  • Select a different available cash advance from the options provided.

  • Choose not to apply a cash advance and provide a justification.

If the employee doesn't respond by the auto-submission date, Expenses Agent submits the report with the default cash advance applied.

The following limitations apply:

  • Email-based processing can apply only one cash advance to an expense report. To apply multiple cash advances, use Oracle Expenses.

  • Cash advances apply to the expense report, not to individual expense lines.

  • When multiple cash advances are available, the email provides one default cash advance and up to three other options.

  • A justification is required when an employee chooses not to apply a cash advance.

  • If an email response can't be resolved after the allowed follow-up, Expenses Agent directs the employee to Oracle Expenses.

When an expense report is rejected or withdrawn, the applied cash advance is removed, the applied amount is credited back to the cash advance, and its due date doesn't change.
