Manage Supplier Offers with the Supplier Offers Assistant
The Supplier Offers Assistant helps users manage supplier financing offers throughout the offer lifecycle.
After a financing offer is created, use the Supplier Offers Assistant to review offer details, monitor supplier responses, and manage offer activities.
The assistant supports the complete Dynamic Discounting offer lifecycle, from reviewing draft offers through supplier communication, response monitoring, and offer completion. It also supports Virtual Card offers, Dynamic Discounting offers for newly eligible invoices, and standing offer enrollments.
Common tasks include:
| Task | What the Assistant Helps You Do |
| Review supplier offers | Review draft, accepted, declined, pending, and expired offers for Dynamic Discounting and Virtual Card. |
| Review offer details | Examine offer information, financing program details, and offer status. |
| Review offer installments | Review invoices and installments included in an offer. |
| Confirm offers | Review and confirm offers before supplier communication. This includes Dynamic Discounting and Virtual Card offers. |
| Discard draft offers | Discard eligible draft offers that you don't want to send. The assistant presents the selected drafts for review and discards them only after you confirm the action. |
| Monitor supplier responses | Track accepted, declined, pending, and expired offers. |
| Review expiring offers | Identify offers that require follow-up before expiration. |
| Review supplier acceptance trends | Monitor supplier response patterns and identify offers requiring follow-up before they expire. |
| Manage offer lifecycle | Review offer status throughout the lifecycle, including shortlisted, communicated, accepted, declined, expired, and unsubscribed offers. |
| Send offers for newly eligible invoices | Identify financing program candidates with newly eligible invoices and send Dynamic Discounting offers for those invoices. |
| Manage standing offer enrollments | Create, review, update, and end-date standing offer enrollments for ongoing Dynamic Discounting arrangements. |
Offers for Newly Eligible Invoices
When you review draft offers, the Supplier Offers Assistant can present two populations separately:
- Shortlisted offers that were created in the Payment Options Assistant and are awaiting review.
- Financing program candidates with newly eligible invoices that are ready for a new Dynamic Discounting offer.
When both populations are presented, a request to send offers without further qualification includes both shortlisted offers and suppliers with newly eligible invoices. To send only one population, specify shortlisted offers or suppliers with new installments. If the reference is unclear, the assistant asks you to confirm which offers you mean.
When a financing program campaign is active, the newly eligible invoices section isn't presented. In this case, only shortlisted offers can be sent.
Managing Standing Enrollments
Standing enrollments support ongoing Dynamic Discounting arrangements for current and future eligible installments. You can create and maintain standing enrollments in the Supplier Offers Assistant. Each change is presented for review and applied only after confirmation.
A standing offer can be established when a supplier accepts it through the supported supplier response flow. You can also record standing-offer terms in the Supplier Offers Assistant when those terms were agreed with the supplier separately.
| Action | Example Prompt | Behavior |
|---|---|---|
| Create an enrollment | Enroll [Supplier] in a standing offer at 12% starting [Date] | Previews eligible supplier sites with business unit, discount rate, start date, and end date. |
| Count enrollments | How many suppliers are enrolled in standing offers? | Returns the number of suppliers with standing enrollments. |
| Review active enrollments | Show standing offer enrollments for [Program Name] | Returns active and future-dated enrollments with supplier, supplier site, business unit, discount rate, and effective dates. |
| Review ended enrollments | Show unenrolled standing offers for [Program Name] | Returns enrollments that are no longer active. |
| Change the rate | Change the standing-offer APR for [Supplier] to 8.75% starting [Date] | Ends the current enrollment on the day before the new effective date and creates an updated enrollment from that date. |
| Change dates or end an enrollment | End the standing-offer enrollment for [Supplier] on [Date] | Updates the enrollment dates after preview and confirmation. |
When a standing enrollment rate changes, the existing enrollment ends on the day before the new effective date and a new enrollment begins on the effective date, preserving the enrollment history.
Candidate management and standing enrollment management aren't available while a financing program campaign is active.
Virtual Card Offer Lifecycle
Virtual Card offers are created in the Payment Options Assistant and reviewed, approved, sent, and monitored in the Supplier Offers Assistant. Accepted Virtual Card offers are then processed through the Payment Execution Assistant.
| Stage | Assistant | What Happens |
|---|---|---|
| Identify the opportunity | Payment Options | Review upcoming payments and calculate the Virtual Card benefit for eligible suppliers. |
| Create the draft offer | Payment Options | Review and confirm the program, payment instrument, payment method, and proposed payment terms. The selected installments are soft-locked when the draft offer is created. |
| Review and send | Supplier Offers | Review the draft offer and its installments, approve the offer, and send it to the supplier contact. |
| Monitor supplier response | Supplier Offers | Review the supplier's response and the resulting offer status. |
| Process accepted installments | Payment Execution | Verify that the offer is accepted and review the applicable installment updates before submitting a Payment Process Request using a template configured for Virtual Card payment. |
Before proceeding with payment processing, verify that the offer status is Accepted and that the applicable installments reflect the accepted offer terms.
When a supplier accepts an ad hoc Virtual Card offer, a one-time digital payment account is created for the supplier site if one doesn't already exist. This doesn't create a standing Virtual Card enrollment. The payment instrument on the Payment Process Request must match the payment instrument recorded on the accepted offer.
Use Case: Confirm a Draft Offer for Supplier Communication
Business Objective: Review a draft Dynamic Discounting offer, verify the included installments, and confirm the offer for supplier communication.
Prompt: Confirm the offer for Vision Corporation
The Supplier Offers Assistant displays the offer details for review, including the supplier, program, discount rate, amount, installment count, and expiry date. Review the results, verify the installment details, and confirm the offer to send it for supplier communication.
For a Virtual Card offer, also review the applicable payment instrument and recipient information before approving and sending the offer.
Use Case: Monitor Supplier Responses
Business Objective: Monitor supplier responses and identify offers that require follow-up before they expire.
Prompt: Show offers expiring in the next 7 days
The Supplier Offers Assistant returns supplier offers approaching expiration, including supplier name, financing program, offer status, expiry date, and estimated financing opportunity. Review the results and determine whether supplier follow-up is required before the offers expire.
