Onboard Payment Programs with the Buyer Onboarding Assistant
The Buyer Onboarding Assistant helps you review and create supported payment programs and get guidance for payment setup.
The Buyer Onboarding Assistant helps you establish supported payment programs and understand the payment setup required for payment processing. Financing offers require the applicable financing program setup, while capabilities such as payment inquiries and supplier spend analysis have their own prerequisites.
Unlike the other Payments Agent assistants, which operate on configured payment programs, the Buyer Onboarding Assistant helps you establish the programs and payment setup needed for payment processing.
Access to the Buyer Onboarding Assistant requires the Buyer Assistant Management Duty through a customer-defined job role. For more information, see Buyer Onboarding Assistant Security Setup.
The assistant supports three onboarding areas.
| Area | What the Assistant Does | How Work Is Completed |
|---|---|---|
| Dynamic Discounting program | Answers questions about existing programs, collects and validates values for a new program, and presents a program preview for confirmation. | Creates the program directly after you confirm the preview. |
| Virtual Card program | Answers questions about existing Virtual Card programs and their configuration. | Creation and updates are completed in Manage Virtual Card Programs, which the assistant links to directly. |
| Payment setup | Explains required payment setup and its sequence, and answers questions about existing setup such as payment instruments and banks. | Setup is completed in the applicable Setup and Maintenance tasks, which the assistant links to directly. |
Create a Dynamic Discounting Program
Ask the Buyer Onboarding Assistant to create a Dynamic Discounting program. For example:
Create a dynamic discounting program
The assistant collects any required values that you haven't provided, validates the values, and presents the program details for review. You can provide the information over multiple interactions.
| Value | Notes |
|---|---|
| Program name | Required. |
| Description | Optional. Describes the purpose of the program. |
| Minimum discount rate | Required. Defines the lower bound for rates offered under the program. |
| Maximum discount rate | Required. Defines the upper bound for rates offered under the program. |
| Default discount rate | Required. Used when a specific rate isn't provided. The value must be within the minimum and maximum discount rates. |
| Default currency code | Required. Specifies the program currency using a three-letter currency code. |
| Conversion rate type | Required. Used when the transaction currency differs from the program currency. |
After the values are validated, the assistant displays the Dynamic Discounting Program Preview.
- To create the program, select Confirm and create the Dynamic Discounting program, or provide an explicit confirmation such as Confirm.
- To change a value, select Modify the Dynamic Discounting program details, or provide the correction in the conversation. The assistant updates the preview.
- To stop the request, enter Cancel or Do not create.
The assistant creates the program only after you confirm the preview. The program is created as a signed Dynamic Discounting financing program.
If the creation result is uncertain, search for the financing program before submitting the creation request again. Retry the request only after confirming that the program wasn't created.
You can't update an existing Dynamic Discounting program using the Buyer Onboarding Assistant. Use Manage Financing Program to update an existing program.
Creating the financing program doesn't complete all Dynamic Discounting setup. Before extending offers to suppliers, complete the remaining configuration, including the supplier offer email template, sender configuration, supplier contacts, and Financing Programs RAG document.
Review Dynamic Discounting Programs
You can ask the assistant about Dynamic Discounting programs configured in your organization.
- Show the dynamic discounting programs defined in my organization
- Show Dynamic Discounting programs with default currency USD
The results can include the program name, financing program code, description, financing option type, start and end dates, discount rates, default currency, and conversion rate type.
You can also ask about the supplier offer email configuration. For example: Which email template is used for supplier discount offers?
The assistant provides a link to the applicable email template in Oracle Analytics Publisher.
Review and Create Virtual Card Programs
You can ask about Virtual Card programs and their configured payment instruments.
-
Show the virtual card programs defined in my organization
-
What payment instruments are set up for [Program Name]?
The Buyer Onboarding Assistant doesn't create or update Virtual Card programs directly. For a create or update request, the assistant provides a link to Manage Virtual Card Programs, where you complete the configuration.
Payment Setup Guidance
The Buyer Onboarding Assistant provides guidance for the payment configuration required before a payment program can operate. It explains the required setup, the sequence in which it should be completed, and the purpose of the related setup objects. When configuration is required, the assistant provides a link to the applicable Setup and Maintenance task.
| Setup Area | Covered Objects |
|---|---|
| Connectivity | Transmission configuration, payment systems, and payment system accounts |
| Payment formats | Payment formats and format assignment |
| Payment processing | Payment process profiles and disbursement system options |
| Payment methods | Payment methods and payment method defaulting rules |
| Payment instruments | Banks, bank accounts, and payment instruments |
You can also ask about configured payment instruments and filter the results by payment instrument alias, payment network, instrument type, currency, legal entity, or bank name. For example: Show payment instruments where Bank Name is [Bank Name]
The assistant returns up to 25 payment instruments. If more results are available, narrow the request using additional filters.
To maintain a payment instrument, ask the assistant to open Manage Payment Instruments. The assistant provides a direct link to the task.
The Buyer Onboarding Assistant distinguishes between a request to perform a supported creation task and a request for setup guidance.
