End-to-End Workflows

The following workflows illustrate how payment specialists and payment program managers can use Payments Agent throughout the payment lifecycle.

Daily Payment Operations Workflow

  1. Open the Payments Agent overview page and review the Insights that require attention.
  2. Optionally, select a Suggested Prompt to begin investigating a payment issue or operational activity.
  3. Use the Payment Execution Assistant to investigate payment runs, payment files, and payment transactions. You can also analyze payment failures, submit and review supplier remittance advice, and locate payments for follow-up actions such as void, reissue, or remittance reprint. For void, reissue, and remittance reprint, the assistant provides a link to the payment page where you complete the action.
  4. Review operational exceptions and take corrective action as needed.
  5. Continue monitoring payment activities until all issues are resolved.

This workflow helps payment specialists proactively identify and resolve operational issues.

Financing Opportunity Workflow

  1. Use the Payment Options Assistant to review available financing programs.
  2. Analyze upcoming payment obligations and payment outflows.
  3. Evaluate projected benefits for available financing programs.
  4. Compare financing opportunities and identify the highest benefit financing programs. You can also use what-if analysis to evaluate alternative assumptions, including changes to the Supply Chain Financing payment-extension period.
  5. Optionally, review historical supplier spend to identify suppliers that are good candidates for financing programs. You can also generate and download the Supplier Spend Analysis report for offline review or sharing.
  6. If applicable, simulate payment programs using program details provided through published RAG documents and evaluate the projected benefits before deciding whether to configure the program. Payment Program Simulation supports Dynamic Discounting, Virtual Card, and Supply Chain Financing.
  7. If applicable, add and maintain suppliers as financing program candidates.
  8. Generate supplier financing offers for selected suppliers.
  9. Review and confirm the draft offers.

This workflow helps organizations identify and act on payment optimization opportunities.

Supply Chain Financing supports benefit analysis and comparison only. Supply Chain Financing offer creation, supplier enrollment, and offer lifecycle management aren't supported.

Supplier Offer Management Workflow

  1. Review existing supplier financing offers using the Supplier Offers Assistant.
  2. Review offer details and associated invoice installments.
  3. Confirm offers for supplier communication.
  4. For Dynamic Discounting, review financing program candidates with newly eligible invoices and send offers as appropriate.
  5. Monitor supplier responses and offer status.
  6. Review expiring offers and follow up with suppliers when appropriate.
  7. For Dynamic Discounting, create, review, update, or end-date standing offer enrollments as needed.

This workflow helps users manage supplier participation throughout the financing offer lifecycle.

Payment Process Request Scheduling Workflow

  1. Review upcoming payment obligations using the Payment Execution Assistant.
  2. Verify payment readiness and payment schedules. For accepted Virtual Card offers, verify that the payment instrument specified for the Payment Process Request matches the payment instrument recorded on the offer.
  3. Schedule a one-time or recurring payment process request using an appropriate configured template, including a template configured for Virtual Card payment when applicable.
  4. Confirm the PPR schedule.
  5. Monitor payment execution and payment files after submission.

If operational issues are identified, use the Payment Execution Assistant to investigate payment runs, payment files, or payment transactions and review the recommended next steps. For failed payment runs or payment files, the assistant can analyze the underlying scheduled-process evidence and provide the failure stage, probable cause, business impact, and recommended next action.

This workflow helps users manage payment execution activities while maintaining visibility into payment processing status.
