Configure Dependent Fields for US Location Overrides

You can let people enter location override information when they report time worked somewhere other than their normal work location.

You can capture only a single location level, such as State, or multiple location levels, such as State, County, and City. Set up each location level as a dependent time card field of the independent Payroll Time Type attribute. Use the Time Entry Layout Components task in the Time and Labor functional area.

Before you start

Prepare the location time attributes. You can use the location time attributes we provide. They've data sources and drop-down list filters, and transfer to payroll after final approval. Or you can prepare your own location attributes using this basic process:

1. Create payroll elements using the Time Card category, with the necessary input values for location by legislative data group. Use the Elements task in the Elements and Formula functional area.
2. Generate the location time attributes using the Generate Data Dictionary Time Attributes task in the Time and Labor functional area.

Here's what to do

1. Create or edit an independent time card field or web clock buttons definition that has the Payroll Time Type time attribute.
2. Create the dependent field.
   • Be sure to set the independent attribute to Payroll Time Type.
   • Remember, your availability selection decides what display options people have when they configure time layouts.

   You can repeat step 2 as many times as needed to create all the dependent fields first. Then, add the data sources and filters to each field. Or, you can create a field and add the sources and filters before you create the next field.

3. Select the unfiltered data source and filtered data source for the location attribute.

4. Add the filter variables and input attributes for the filtered data source. If you use multiple location levels, you configure the data source filters as shown in this US example.

5. Add the dependent location fields to the appropriate layouts in the layout sets, in the display sequence that makes the appropriate drop-down list values available. For example, when city values depend on the selected state and county values, you display the State field first, followed by County, and then City. If you display the City field first, the drop-down list is empty.
   The availability setting that you selected when you create the dependent field decides your display options in time card layouts.
