Import Time Card Entries to Payroll

Use the Submit a Flow task to submit the Load Time Card Batches process to import time card entries to payroll. This process creates a calculation card or updates an existing card for each person with time entries included in the batch.

Use the same process to import time entries from Oracle HCM Cloud Time and Labor and from a third-party time provider.

Use the Transfer Time Cards from Time and Labor payroll flow to transfer time card data to Global Payroll. Use the optional transfer parameters, such as time card from and to dates, HCM group, payroll relationship, person, or payroll, to identify the time cards to include within the selected legislative data group. Here are two ways to use these parameters:
  • Use the From Date and To Date flow parameters to dates to include all time cards with pay periods that end between these dates. For example, enter the from date is June 1, 2022 and the to date as June 30, 2022, to transfer all time cards with pay periods that end in June. Any time card with a pay period that starts in May 2022 and ends June 1, 2022 is included.

  • Use the Filter Mode to include all time cards for the specified group of people by HCM Group, Payroll, Payroll Relationship Group or Person. The selected filter mode populates the corresponding parameter choice list. For example, if you select the HCM Group filter mode, in the HCM Group choice list, you see all active HCM group options and you don’t see any options in the Person choice list.If you change the filter mode to Person, the Person choice list gets populated and you don't see any groups in the HCM Groups choice list.

Import Time Entries from Time and Labor

Complete these steps to import your time entries

  1. On the Home page, click the Submit a Flow quick action under the My Client Groups tab.

  2. On the Flow Submission page, select the Legislative Data Group.

  3. Search for and select Load Time Card Batches in the Flow Pattern field.

  4. Click Next.

  5. On the Submit a Payroll Flow page, enter a name to identify the flow in the Payroll Flow field.

  6. In the Interface Type field, search for and select ORACLE FUSION TIME AND LABOR.

  7. Optionally, specify a process configuration group. Click Next.

    Note: If you don't need to connect, schedule, or review the flow parameters, skip these pages and submit the flow.
  8. On the Enter Flow Interaction page, complete the optional parameters. Click Next.

  9. On the Schedule page, complete the optional parameters. Click Next.

  10. On the Review page, click Submit. In the Confirmation dialog box, click OK and View Checklist.

  11. On the Payroll Flow page, Task Details tab, you should see a green check mark in the Upload File row, Task Type column. If not, click the Refresh icon intermittently on the toolbar until you do.

  12. Right-click the Upload File row and select Mark as Complete.

    You don't need to upload a file for Time and Labor.

The View Person Process Results page lists the time card IDs included in the batch of transferred time cards. Use the Calculation Cards task to view the time entries for each person's time included in the batch.

Import Time Entries from a Third-Party Provider

For third-party time applications, you can load time cards using HCM Data Loader.

The View Person Process Results page lists the time card IDs included in the batch of transferred time cards. Use the Calculation Cards task to view the time entries for each person's time included in the batch. Entries transferred from third-party providers only display on the calculation cards, and not in the Oracle Fusion Time and Labor time cards.

Import Time for Terminated Employees

To avoid release of information on planned terminations, time providers usually hide and ignore the future termination date until it's formally announced. Employees reporting time in Time and Labor can report time entries beyond their termination date, without any indication that they're ineligible for the time entered. Line managers can view and approve these entries, but the Load Time Card Batches process will reject time card entries beyond the termination date.
