Configure Employees for Year End for the US

Before you attempt to generate your year-end forms, make sure you've properly configured your employees.

US employee

When you create employee roles, be sure to add the View US End of Year Tax Form privilege.

This privilege is attached to the US Employee Portrait Gallery duty role, which lets employees use the View US End-of-Year Tax Form task. Without it, they won't be able to view their W-2s online.

US territorial employees

  1. When you create employee roles, be sure to add the View US End of Year Tax Form privilege.

    This privilege is attached to the US Employee Portrait Gallery duty role, which lets employees use the View US End-of-Year Tax Form task. Without it, they won't be able to view their Forms W-2GU and W-2PR online.

  2. Any Puerto Rico employee must provide their birth date when reporting Code E in Box 16 of their Form W-2PR.

    Use Date of Birth in either the Person task or through the new hire process.

  3. Employees in Guam have the same requirements as US employees.
