Employment Profile Options

Use the Manage Administrator Profile Values task in the Setup and Maintenance work area to manage profile options. You can configure these employment-related profile options as required, to meet your enterprise requirements:

By default, the future assignment updates won't be moved to the new assignment during a legal employer change. To move the future assignment to the new assignment, you must set the profile option to Y.

If you set the profile option to Y, these things happen:

  • Future assignment updates are copied.

  • Future updates for these Payroll objects are copied:
    • Overtime Period
    • Timecard Required
    • Element entries not linked to Calculation Cards, including future non-recurring entries.
  • Assignment updates are also copied to the new assignment if there are date effective updates on the source assignment past the termination date of the source work relationship.

By default, the future termination will be moved to the new work relationship during a legal employer change. To stop the future termination from being moved to the new work relationship, you must set the profile option to N.

If you set the profile option to Y, these things happen:

  • Future termination will be copied even if future assignment updates are set to not copy.

  • Future termination will be copied even if future assignment updates fail to copy successfully.

Retain employment changes

By default, your changes won't be retained in the employment flows. To retain your changes, you need to set the profile option to Y.

When the profile option is set to Y, only valid employment and person changes are retained as of the new effective date. Changes for other sections, such as Payroll and Absences aren't retained.

To retain the salary changes, you need to navigate to the Salary section after changing the effective date. If the salary basis changes when you change the effective date, the salary changes won't be retained.

If you change the transaction date, and the date is earlier than the previous assignment record or later than the future assignment record, your changes won't be retained. In this case, the current application behavior of resetting your changes will continue.

When you enter a value that's not valid as of the newly changed date, the value will be reverted to the old value.

By default, the current application behavior of retaining the user changes is followed. When the profile option is set to Retain User Changes, the application defaults the business title to the job name whenever there is a change in job on the worker's assignment. However, if the user has manually updated the business title on the worker's assignment, the changes entered by the user are retained even if there is a change in job on the worker's assignment.

If you set the profile option to Automatically Update Based on Job Change, the application defaults the business title to the job if there is a change in job on the worker's assignment.

If you set the profile option to Automatically Update Based on Position Change, the application defaults the business title to the position if there is a change in position on the worker's assignment.

If you set the profile option to Yes, the assignment history across legal employer changes is displayed on the Employment Info responsive page.

To view the worker's assignment history across legal employer changes, their source and destination assignments must be linked.

By default, the existing direct reports of the manager will be copied to the Reassign Existing Reports section. To display existing direct reports in the Add Direct Reports section, you must set the profile option to Add Direct Reports.

If you set the profile option to Reassign Existing Reports, the application defaults the manager's existing direct reports in the Reassign Existing Reports section of the Global Temporary Assignment flow.

If you set the profile option to Add Direct Reports, these things happen:

  • The application defaults the manager's existing direct reports in the Add Direct Reports section of the Global Temporary Assignment flow.

  • The application doesn't display direct reports in the Add Direct Reports section if there is a pending employment transaction for the direct report.
  • Direct reports who don't have line manager relationship with the source assignment continue to stay in the source assignment and aren't moved to the assignment which is newly created as part of the global temporary assignment.

  • The Reassign Existing Reports section won't be shown in the global temporary assignment regardless of whether you select the section in the questionnaire page.

Only those direct reports with which the source assignment has a line manager relationship will be populated in the Add Direct Reports section. For example, Donna is a line manager of Jeff and Marry, and project manager for Shaun. In this case, only Jeff and Marry will be defaulted in the Add Direct Reports section when the global temporary assignment is started for Donna.

Identifies the tenure to aid in defaulting the manager during position synchronization

Shortest Tenure in Enterprise

By default, the shortest tenure in the enterprise is used to identify the incumbent of a position with multiple incumbents as part of defaulting the manager during position synchronization. The other tenures you can use to set the profile option are: Longest Tenure in Assignment, Longest Tenure in Enterprise, Longest Tenure in Position, and Shortest Tenure in Position.

If you set this site-level profile option to Y, and there's only one valid grade for a job or position, then these conditions apply in these flows:

  • Hire and Add Assignment

    • If the selected position has an entry grade, then the entry grade is defaulted.

    • If the selected position doesn't have an entry grade and has a single valid grade, then the single valid grade is defaulted.

    • If the selected position doesn't have any valid grades (entry grade is also a valid grade), then no grade is defaulted.

    • If no position is selected and the job has a single valid grade, then the single valid grade is defaulted.

  • Employment, Promote, and Transfer

    • The grade isn't overridden except when the PER_ENFORCE_VALID_GRADES and PER_DEFAULT_GRADE_FROM_JOB_POSITION profile options are set to Yes and the single valid grade is defined at the position or job.

If you set this site-level profile option to N, the grade is defaulted only if it's an entry grade for the position and the flow is Hire or Add Assignment.

If you set this profile option to the department tree value, the application defaults the line manager from the selected department tree.

If no department manager is defined, the application searches higher levels in the department tree and fetches the manager from the defined department.

If the transaction is performed on the department manager assignment, the application defaults the line manager from a higher level in the department tree.

If the department tree has an active tree version, then the line manager is defaulted from the active tree version.

If the department tree doesn’t have an active tree version, then the line manager is defaulted from the tree version that’s in draft status and has the latest last updated date.

By default, the department manager is defaulted as the line manager. To change the default behavior, you must change the profile value to Y (after creating the profile option). Then the department manager isn't defaulted as the line manager and the PER_DEPARTMENT_TREE_FOR_MANAGER profile option is ignored.

Note: You need to create this profile option as it's not delivered with the application.

If you set this site-level profile option to Y, users can do these actions:

  • Select a grade only from the list of valid grades that are defined for the assignment set in the selected job or position.

    Note: You can add grades belonging to multiple sets as valid grades for the job or position.
  • If users select the job and position for the assignment or employment terms, they can only select grades that are valid for the position. Also, if the position doesn't have any valid grades, then the valid grades of the job aren't applied.

  • If you don't define valid grades for the job or position, then users can select grades from the grade ladder. If the grade ladder doesn't have any grades, then the user can select from all grades.

If you set this site-level profile option to N, users can select grades from the grade ladder. If the grade ladder doesn't have any grades, then the user can select from all grades defined for the assignment set.

PER_MANAGE_CONTRACTS_RESPONSIVE_ENABLED

By default, the responsive pages are enabled. If for some reason you can't move to the responsive pages at this time, you need to change the default by setting the profile option to N.

Note: Until release 20D, the PER_MANAGE_CONTRACTS_RESPONSIVE_ENABLED profile option had no impact on the classic Manage Employment pages. However, from release 21A, the contract details won't be available in the classic Manage Employment pages if the profile option is set to Y. You can manage employment contracts using either the responsive or the classic Manage Employment page, but not both.
