How do I create a renewal cadence?
Start on the Home page.
You’ll need the Learning Specialist role to create renewal rules.
Click My Client Groups.
Click Learning.
Click Courses.
Search for the course you want to create a renewal cadence for.
In the Course Title field, enter All about Oracle Learning Cloud.
Click Search.
Search for the learners who are assigned to this course.
Click Learners.
You can set up a renewal cadence when you create a course.
In the Assignment Status field select All.
Click Search.
You can also set up a renewal cadence for an existing course and make sure that the completion records for learners aren’t lost.
In the Add Learners field select Required Assignment.
After you complete the required fields, click Next.
In the With this note field, enter Required organizational training.
Click Next.
You can add learners who have and have not completed the course using the Add function, or individually.
In the Add a person field, enter Curtis Feitty.
Click to select Curtis Feitty.
In the Add a person field, enter Ravi Chandra.
Click to select Ravi Chandra.
Click Next.
First, set up the validity rules.
The Validity Period Starts field has two options: After completion (default): The validity period starts when the learner completes the course. After due date: The validity period starts no earlier than the assignment due date. If the learner completes the course before the due date, the validity period starts on the due date. If the learner completes the course after the due date, the validity period starts on the completion date.
In the Validity Period Starts field select After Completion, if not already selected.
The Validity Period Expires field has four options: Expires on date –the date the course completion expires and the interval of years the completion is valid. Expires in years – the number of years from the validity period start date that the validity period expires. Never expires (default) – the course completion is valid forever. Expires in days - How many days from the validity period start date that the validity period expires.
In the Validity Period Expires field select Expires in days.
In the Valid For field, enter 198.
Next, set up the Renewal Options.
The renewal options work with the validity period expiration to determine when to automatically generate the next learning assignments. Until the start date, only learning administrators can see the next assignments. Learners will see them in their current learning on the start date.
The Renewal Options field has four options: Start Next Renewal After Completion of Prior Assignment: Means the start date is the current completion’s completion date. The due date is the current completion’s expiration date. Do Not Create a Renewal Assignment (Default Option): Will not create any future assignments. Start Next Renewal Before Validity of Prior Assignment Ends: Means the start date is the specified number of days before the current completion’s due date. The due date is the current completion’s expiration date. Start Renewal After Due Date of Prior Assignment: Means the start date is the specified number of days after the current completion’s due date. The due date is the current completion’s expiration date.
In the Renewal Options field select Start next renewal before validity of prior assignment ends.
In the Renewal Period field, enter 3.
Then set up the conflict rules. The Learners Who Need to Retake, Expire Their Completion field has three options: On this assignment’s due date means that the current completed learning assignment will expire on the due date set for this new assignment. This option gives the learners a grace period before they’re noncompliant. On this assignment’s start date means that the current completed learning assignment will expire on the start date set for this new assignment, which could be immediately. This option immediately makes the learners noncompliant until they complete the new course assignment. Based on the assignments validity period expiration rule means the expiration and due dates will be calculated based on the validity period and expiration rules defined for this assignment.
In the Learners who need to retake, expire their completion field select Based on this assignment’s validity period expiration rule.
After you set up the conflict rules, the expiration and due dates are automatically calculated and shown here.
Highlight the Impact on Completed Assignments section.
Confirm the calculations are correct, then click Submit.
Click Submit.
Click OK.
You can search again on all assignment statuses to see all learners assigned to this course.
Click Search.
Here are the two learners you just assigned to this course. Click Edit Assignment to confirm the renewal cadence for the learner who already completed the course, as well as the learner who hadn’t.
Click to select Curtis Feitty.
Click Edit Assignment.
Highlight the Advanced Rules section.
Click Cancel.
Click to select Ravi Chandra.
Click Edit Assignment.
Highlight the Advanced Rules section.
Click Cancel.
