How do I create and apply a work pattern?

Work patterns define when and how a worker is expected to work. There are several types of work patterns: Start and End Times, Duration, Flexible Days, and Flexible Days and Times. Each of these patterns has different characteristics, with an increasing amount of flexibility. The flexible patterns are used for Workforce Scheduling.

There are 3 basic steps to configure a work pattern. The first step is to create the work pattern types, which define the structure of your work pattern.

Start on Home page.

Open the Setup and Maintenance work area.

Click the Settings and Actions icon.

Click Setup and Maintenance.

Search for and click work pattern types.

Click the Tasks icon and select Search.

In the Search field, enter work pattern types.

In the Search Results, click Work Pattern Types.

Then add your new work pattern type.

Click Add.

Select the shift period and enter a name. You have the option to select a country that this work type pattern will apply to. If you don’t select any countries, the type will be available to all of them. Next, define the library of breaks that you can use with your work pattern.

Click the Start and end times option.

In the Name field, enter Nurse Shift 01.

Highlight the Country field.

You can add and define as many breaks as needed.

In the Break Management section, click Add.

In the Break Name field, enter Lunch.

Click the Any time during shift option.

In the Minutes field, enter 60.

Click the Unpaid option.

Click OK.

In the Break Management section, click Add.

In the Break Name field, enter Break.

Click the Any time during shift option.

In the Duration field, enter 30.

Click the Paid option.

Click OK.

After you define the details and breaks, submit the new work pattern type.

Click Submit.

Click OK.

The second basic step is to define the shifts, or blocks of work, to include in your work pattern.

Click the Home icon.

Open the Workforce Scheduling work area.

Click My Client Groups.

Click Workforce Scheduling.

Click Shifts.

Click Add.

This worker has a rotating work pattern. So enter the shift details for the first shift and save your changes.

In the Shift field, enter 7:00 AM - 6:00 PM.

In the Shift Category field select Day shift.

In the Work Hours field, enter 10.

In the Unpaid Break in Minutes field, enter 60.

In the Start Time field, enter 7:00 AM.

Click Save.

Then add the second shift.

Click Add.

In the Shift field, enter 7:00 PM - 6:00 AM.

In the Shift Category field select Night shift.

In the Work Hours field, enter 10.

In the Unpaid Break in Minutes field, enter 60.

In the Start Time field, enter 7:00 AM.

Click Save.

The third basic steps is to apply work patterns to workers.

Click the Go Back icon.

Click Work Patterns.

Search for and select the worker to apply the work pattern to.

In the Search field, enter Felicia Nurse.

In the Search Results, click Felicia Nurse.

You can see this worker’s job title and weekly hours.

Highlight the worker’s job title and weekly hours.

Click Create Work Pattern.

Select the pattern type you created previously and the start date. To apply the work pattern indefinitely, don’t set an end date. When it’s time to apply a different work pattern, you can add an end date then. You also have the option of creating the work pattern using a template.

In the Type field, select Nurse Shift 01.

Change the cycle, unit of measure, and anchor cycle as appropriate. For example, this worker has a 2-week cycle that starts with the first week.

In the Cycle field enter 2.

Highlight the Unit of Measure field.

Highlight the Anchor Cycle field.

Next, add the shifts that make up this worker’s work pattern.

Click Add.

As you’re defining a start and end times work pattern, select the shift and the days to work for week 1.

In the Week field select 1.

In the Shift field select 7:00 AM - 6:00 PM.

Select the Monday, Tuesday, Wednesday, and Thursday options.

Then add the appropriate breaks from the list of breaks that are part of the work pattern type.

Click Add.

In the Type field select Lunch.

Click Save.

In the Type field select Break.

Click Save.

When you’re done, click Add.

Click Add.

You can review the details for the first shift and make any needed changes. Then add the next shift.

Highlight the details for Week 1.

Highlight the Edit icon for Week 1.

Click Add.

Add the shift and days to work for week 2.

In the Week field select 2.

In the Shift field select 7:00 PM - 6:00 AM.

Click the Tuesday, Wednesday, Thursday, and Friday options.

Then add the appropriate breaks.

Click Add.

In the Type field select Lunch.

Click Save.

Click Add.

In the Type field select Break.

Click Save.

When you’re done, click Add.

Click Add.

Again, you can review the details for the shifts and make any needed changes. When you’re done, click Create.

Click Create.

Now when this worker signs in and checks their calendar, they’ll see the shifts you assigned.

Start on the Home page.

Click Calendar.
