How can I search for jobs using a descriptive flexfield?
Title and music.
Descriptive flexfields are a versatile way to enhance your job requisitions with organization-specific data. For example, your company may offer remote work worldwide, but due to time differences you want to ensure candidates are in the same geographic zone as the rest of their team. You can add the flexfield to the job requisition, but how can you make it searchable by candidates so they can apply to only the appropriate requisitions?
There are four overall steps to making job requisition flexfields searchable. First, either an implementor or a recruiting administrator creates the flexfield. Next an implementor uses Transaction Design Studio to expose it. Still in Transaction Design Studio, the implementor makes the flexfield searchable. Finally a recruiter should create a requisition that uses the flexfield and verify that it’s searchable by candidates.
I sign in as an implementor who can create job requisition descriptive flexfields and manage sandboxes. Navigate to the Job Requisition Descriptive Flexfields task.
In the Settings and Actions menu, click Setup and Maintenance.
Click the Task icon.
Click Search.
In the Search field, enter Job Requisition Descriptive Flexfields.
Click the Search icon.
In the Results, click Job Requisition Descriptive Flexfields.
Create a segment to contain your information. Be aware that at the moment only flexfields with a Data Type of Character are supported for search. Select the appropriate value set, then save and close your segment and deploy your flexfield.
On the Job Requisition Descriptive Flexfields page, click the Edit icon.
In the Global Segments section, click the Create icon.
On the Create Segment page, in the Name field, enter Global Region.
In the Description field, enter Global region where the worker can be located for this position.
In the Data Type drop-down list, select Character.
In the Value Set drop-down list, select CV-Geographic Zone.
On the Create Segment page, click Save and Close.
On the Job Requisition Descriptive Flexfields page, click Save and Close.
Click Deploy Flexfield.
Once deployment completes, click OK.
Once you’ve created the flexfield, it’s time to make it visible. Create a sandbox that includes HCM Experience Design Studio. You need the Administer Sandbox privilege to manage sandboxes.
Click the Navigator menu.
Expand the Configuration section.
Select Sandboxes.
Click Create Sandbox.
In the Name field, enter Expose Flexfield.
In the Active column, select the HCM Experience Design Studio check box.
Click Create and Enter.
Navigate to Transaction Design Studio. You need to edit both the Recruiting - Create Job Requisition action and the Recruiting - View and Edit Requisition action. Since the configuration is the same for both, this demo will only configure the Recruiting - Create Job Requisition action. Either create a new rule or edit an existing rule. In the Page Attributes > Details section, make sure the that Job Requisition Descriptive Flexfield is visible and edit it to display the flexfield you created. Save and close your changes and don’t forget to repeat the configuration for the View and Edit action.
In the Sandbox toolbar, expand the Tools menu and select HCM Experience Design Studio.
Select Transaction Design Studio.
In the Action drop-down list, select Recruiting - Create Job Requisition.
In the Rules section, click Workplace.
In the Page Attributes section, in the Region drop-down list, select Details.
Verify that Job Requisition Descriptive Flexfield value is Visible.
Click the Edit icon.
In the Flexfield Attributes drop-down list, select Global Region.
Click Done.
Click Save and Close.
In the Action drop-down list, select Recruiting - View and Edit Job Requisition.
Now that you’ve made your flexfield visible, you want candidates to be able to use it as a search filter. Select the Recruiting - Define Career Site Search Filters action and either create a new rule or select an existing rule. Notice that you can select on which sites you want the filter; I’ll select All just to make things quick. Make your flexfield visible on the career site, then edit it to display your segment.
Now that you’ve modified all three actions, publish your sandbox to make the changes available in the mainline.
On the Transaction Design Studio tab, in the Action drop-down list, select Recruiting - Define Career Site Search Filters.
In the Rules section, click Add.
On the Edit Rule page, in the Name field, enter Display Geography Flexfield.
In the Description field, enter Rule to be able to search the Geography Flexfield for all career sites.
In the Site Name drop-down list, select All.
In the Page Attributes section, verify that Region drop-down list is Search Filters.
In the Job Requisition Descriptive Flexfield drop-down list, select Visible.
Click the Edit icon.
In the Flexfield Attributes drop-down list, select Global Region.
Click Done.
Click Save and Close.
In the Expose Flexfield menu, select Publish.
Click Yes.
Now it’s time to test the configuration. I’m signed in as a recruiter and I’ll create a job requisition that includes the flexfield. Be sure to do this step; if no records contain data for the flexfield, the search filter won’t be shown. For this demo I’ve filled in most of the requisition data and skipped those steps in the recording.
As mentioned, set a value for your flexfield to ensure the search filter will appear. Submit your requisition, then post it to an external career site. Note the site or sites where the requisition is posted.
Don’t forget to run the Maintain Candidates and Job Requisitions for Search scheduled process to make this requisition searchable.
From the Home page, click My Client Groups.
Click Hiring.
On the Job Requisitions page, click Add.
In the Use drop-down list, select Blank Requisition.
Click Continue.

Click Continue.
In the Global Region drop-down list, select Asia Pacific.
Click Continue.
Click Submit.
On the Job Requisitions page, click Flexfield Test.
In the Actions menu, select Move to Position.
In the External Career Sites section, click Edit.
In the Posting Schedule drop-down list, select Post Now.
Click Save.
Preview the career site and verify that the search filter is visible and works as intended.
Click Home.
In the Settings and Actions menu, select Setup and Maintenance.
In the Setup drop-down list, select Recruiting and Candidate Experience.
Select Candidate Experience.
Select Career Sites Configuration.
Next to Redwood, click the Configure icon.
Select Go to Site.

Verify the global region is Asia Pacific.
